Deputy Clerk

Location: Fort Worth-West DFW Area

Schedule: M-F, 8-5, with occasional evening meetings

Duration: 6-12 months + potential to extend

Pay: $30-40/hr. BOE

Summary

A local government office in the Fort Worth-West DFW area is seeking an experienced Deputy Clerk to support administrative, legislative, and compliance-related functions within a central administrative division. This role serves as the primary backup to the department's senior administrator and assists in managing daily operations, records governance, public meeting coordination, and document processing. The position also provides administrative support to elected officials and assists with election-related tasks and public records activities.

Essential Duties
  • Assist in overseeing day-to-day operations of the department, including task delegation, workflow monitoring, and supporting staff development.
  • Serve as acting departmental lead when the senior administrator is unavailable.
  • Apply working knowledge of state laws relating to open meetings, public information, elections, and records governance.
  • Interpret governing documents, policies, statutes, and legal materials as needed.
  • Support response to information requests and assist with records, contract, and document management.
  • Maintain and organize digital and physical files for official documents and administrative records.
  • Review and execute select administrative documents, permits, and approvals as authorized.
  • Provide basic training to internal teams on document, contract, or agenda management systems.
  • Communicate professionally with internal staff, leadership, elected officials, and the public.
  • Assist elected officials with scheduling, correspondence, constituent support, and administrative tasks.
  • Prepare and post meeting materials for governing body sessions and advisory groups; attend scheduled evening meetings and record minutes.
  • Coordinate required public notices and ensure compliance with deadlines.
  • Prepare certificates, letters, recognitions, and similar formal documents as needed.
  • Conduct research and assist in resolving inquiries related to records, contracts, or departmental operations.
  • Support preparation and administration of local election activities, including data entry, spreadsheet updates, and maintaining election records.
  • Draft correspondence, reports, summaries, and other written materials.
  • Assist with development of legislative-style documents for review by legal personnel.
  • Represent the department at community or public events as assigned.
  • Perform additional administrative and project-based tasks as directed.
Qualifications
  • Bachelor's degree preferred; equivalent experience in government or municipal administration accepted.
  • Minimum 3 years of experience in a city, county, or governmental administrative office.
  • Valid driver's license required.
  • Municipal clerk certification (or ability to obtain).
  • Ability to read and interpret legal, technical, and administrative documents.
  • Strong written communication skills for formal correspondence and reporting.
  • Intermediate math skills, including percentages, ratios, and practical calculations.
  • Experience coordinating staff, interns, or temporary personnel.
  • Ability to work under deadlines, manage shifting priorities, and maintain accuracy.
  • Professional interpersonal skills for working with diverse internal and external stakeholders.
Work Environment & Physical Requirements
  • Office-based role with extended periods of computer and desk work.
  • Occasional lifting of up to 10 pounds (documents, files, supplies).
  • Movement between offices, meeting rooms, and workstations as required.
  • Occasional evening hours to support scheduled official meetings.
  • Standard office equipment used (computer, phone, copier, etc.).
