Medical Office Scheduler

Academic Urology & Urogynecology of Arizona is seeking a highly organized and customer-focused Front Office Scheduler to join our administrative team. This role is vital in supporting daily clinic operations by managing incoming calls, scheduling appointments, and providing administrative support to ensure a seamless patient experience.
Key Responsibilities:
• Answer incoming phone lines promptly and professionally
• Schedule and reschedule patient appointments
• Direct triage calls appropriately
• Receive hospital consults and notify the correct provider
• Relay urgent messages to physicians
• Assist in distributing medical records as needed
• Support additional administrative tasks as assigned
• Complete location-specific responsibilities as directed by management
Requirements:
• Strong communication skills, both written and verbal
• Ability to adapt to changing schedules or workflows
• Professional demeanor and dependable work ethic
• Comfortable using multi-line phones and basic office technology
Education & Experience Requirements:
• High school diploma/GED required
• Minimum 6 months of related administrative or front desk experience
Work Environment & Physical Demands:
• Regular use of phones, computers, and office tools
• Occasional lifting (up to 25 lbs)
• Requires sitting, standing, bending, and reaching
• Moderate noise level typical of an office environment
Qualifications
- Excellent written and verbal communication skills
- Excellent customer service skills are required
- Experience working in a medical office
- Ability to multi-task and work in fast-paced environment.
- Detail-oriented
- Basic understanding of healthcare plans
- Be able to read and understand medical benefits.
- Bilingual is a plus.
Experience: 2-5 years of prior medical scheduling is preferred
Requirements for Level I Status:
- Entry level (1-4 years experience) and/or meet the basic requirements of the job with the need for additional supervision.
- Excess of 4 years experience if meeting only the basic requirements of the job with need for additional supervision.
- Excellent communication skills, both written and verbal.
- Proficient technical (computer) skills.
- Ability to multi-task and prioritize.
- Self-motivated with initiative.
- Strong sense of ethics.
