You are looking for more than a standard reception role where you simply answer phones and watch the clock. You want to be the operational anchor of a fast-paced organization that is making waves in the media. Omega Wealth Private Capital is not a traditional, stuffy financial firm. We are a rapid-growth engine driven by a massive media presence, including WI$E MONEY TV and radio, and an active calendar of educational workshops across the tri-state area. We are looking for a polished, high-energy professional to own our front-of-house experience and drive the logistics behind our client events.
Your Role & Impact: This is a high?visibility position at our Cincinnati Headquarters. You will serve as the first point of contact for our high?net?worth clients and the logistical backbone for our marketing and new business teams. You will move beyond simple administrative tasks to manage the flow of a bustling office and orchestrate successful events that drive our firm's growth.
What You Will Accomplish
- Own the First Impression: create a world?class welcome experience for all guests, managing the lobby, hospitality, and phone lines with warmth and professionalism
- Drive Event Logistics: manage the complete run?of?show for workshops and events, including RSVPs, materials prep, catering, and venue coordination
- Accelerate Business Operations: support the Director of New Business by preparing welcome packets, executing clean data entry for inbound leads, and managing digital document flows
- Master Schedule Management: coordinate complex calendars for advisors and events, ensuring confirmations and meeting preparations are executed flawlessly
- Lead Vendor Coordination: act as the primary liaison for building management and vendors to ensure our facility remains pristine and fully operational
Who We Are Looking For
- Experience: 25+ years in client service, office coordination, or event support (Financial Services or Professional Services background preferred)
- Tech?Savvy: proficiency in Microsoft 365 (Outlook, Teams, Excel) and a willingness to master CRM systems
- Communication: exceptional written and verbal communication skills with a polished, professional demeanor
- Logistical Mindset: strong organizational skills with the ability to manage checklists, deadlines, and details under pressure
