Accounts Payable Specialist

The Accounts Payable Specialist is responsible for managing and processing vendor invoices, subcontractor payments, and compliance documentation within a fast-paced construction environment. This role ensures accuracy, timeliness, and adherence to company policies and industry standards while supporting project teams and maintaining strong vendor relationships.
Key Responsibilities:
- Process high-volume accounts payable transactions, including vendor and subcontractor invoices.
- Verify invoice accuracy against purchase orders, contracts, and job cost codes.
- Ensure compliance with lien waivers, W-9s, insurance certificates (COIs), and other required documentation.
- Maintain accurate records of job costing and expense allocations in the accounting system.
- Reconcile vendor statements and resolve discrepancies promptly.
- Prepare and process weekly check runs and electronic payments.
- Assist with month-end close by ensuring all AP entries are posted accurately and timely.
- Collaborate with project managers and procurement teams to resolve billing issues.
- Support audits and provide documentation as requested.
- Experience: 2-5 years of accounts payable experience, preferably in construction or a related industry.
- Skills:
- Strong knowledge of job costing and construction billing practices.
- Proficiency in accounting software (e.g., Sage, Viewpoint, Foundation) and Microsoft Excel.
- Excellent attention to detail and organizational skills.
- Ability to manage multiple priorities and meet deadlines.
- Strong communication and problem-solving skills.
