JOB-SPECIFIC EXPECTATIONS

Greet each customer in a cheerful, positive manner. Make every effort to make the customer feel comfortable and welcome during the sales and estimate process, or when visiting your shop.

Educate each customer about the process of getting a vehicle repaired, including insurance procedures, repair techniques, safety, and payment upon completion, etc.

Assertively inform customers that you feel your shop is the best place for them to have their car repaired and that you sincerely want their business.

Maintain an appropriate dress code that characterizes professionalism and trust.

Verify that all signatures, work authorizations, powers of attorney, and pre-inspection checklists have been obtained prior to initiating the repairs. Document all prior damage on check in sheet and photograph if necessary. Open tickets in Automate, write POs when necessary, etc.

Document all special information (i.e. conversation, special requests, etc.) on the Job File Jacket or in the computer, or both, for the benefit of any other staff member who may handle the file during the repair process. This is especially important for the production department in order to deliver a finished product exactly as described to the customer during the sale process. Document any delays on the file jacket for future reference.

Prepare all estimates in an accurate and efficient manner, keeping in mind that the estimate later becomes the blueprint for the repairs. Estimators will alternate in writing drive in estimates for the public. Make sure all insurance company specific policies are being followed on DRP estimates. Accuracy and detail cannot be overstressed. Include every task on the estimate whether it is a paid function or not. Make sure all jobs are completely torn down in order to minimize possible supplements.

Order all parts via parts department except for LKQ parts, which will be ordered by the individual estimator. Document on folder when and where all parts were ordered from.

Map each job on the vehicle with Marker to insure everyone knows what repairs need to be made. Write RO#, technician, estimator, date to paint, and target delivery date on windshield.

Attend the daily release meeting to review the current status of each job and address any issues which may arise.

Review all final estimates for parts price differences and supplemental repairs. Get tickets and all supplements approved and get the repair orders ready to be closed by the manager. Estimators are also responsible for doing a final walkaround and quality check with the final estimate to insure all repairs were performed and vehicle is ready for delivery.

Estimators need to keep in contact with customers and update them at least twice a week. Always call the customer if we run into any delays. Call every customer the following day to make sure the customer is satisfied. Customer dissatisfaction issues should be dealt with swiftly and effectively. Let management know if a customer is dissatisfied so we can determine how to best remedy the issue.

Perform any other duties as required by manager.

Working conditions: The Body Shop Estimator moves throughout the dealership including the body shop office, shop area, paint shop, main office, cashier window, parts, and storage lot to perform his responsibilities.
