Position Title: Role Charter - Bookkeeper

Wage: $20/hour

Shift: 1st

Hours: 7am-4pm Monday-Friday

Role Charter - Bookkeeper Responsibilities include but are not limited to:

Financial Management & Accounting

- Manage transactions in QuickBooks Online

- Enter and obtain approvals for all bills (mailed or emailed)

- Organize and upload receipts for credit card/bank transactions

- Categorize and match bank and credit card transactions

- Reconcile bank and credit card accounts and review financial statements for accuracy

- Complete month-end close by the 5th business day of the following month

- Lead prior month reporting meetings by the 15th of each month

- Conduct and report quarterly inventory counts

Accounts Payable

- Obtain approvals and pay bills via credit card, ACH, or physical checks

- Draft checks and obtain required signatures (e.g., rent, benefits, vehicle registrations)

- Process outbound lien waivers to subcontractors and track signed returns

Accounts Receivable & Billing

- Coordinate billing and documentation with Finance and Operations teams

- Submit complete payment application packets including COIs and supporting photos

- Assist with Time & Materials (T&M) billing and generate invoices promptly

- Scan and store customers' payments, deposit slips, and draft daily deposit reports

- Process inbound lien waivers: verify accuracy, collect signatures/notarization, remit to customers

Office Operations & Support

- Answer calls from customers and vendors professionally and in a timely manner

- Manage Purchase Order (PO) system

- Assist with quotes, work orders, submittals, warranty documents, or other supporting materials

- Schedule and facilitate meetings to resolve open issues

Role Charter - Bookkeeper Requirements:

- Strong understanding of financial statements and reporting

- Detail-oriented with high accuracy standards

- Effective at prioritizing tasks and meeting deadlines

- Problem-solver with a continuous improvement mindset

- Proactive communicator with managers and colleagues

- Proficient in Microsoft 365 (Excel, Word, Outlook, SharePoint) and Adobe
