Job Summary:

Serves patients by scheduling and coordinating appointments, maintaining medical records and accounts, registers patients for diagnostic imaging examinations, obtains outside imaging/reports, maintains log for incoming/outgoing cds , uploads cds, enters data for mammography patients, sends patients letters, verifies insurance and obtains pre-authorization.

Essential functions of a Medical Office Assistant:
  • Welcomes patients and visitors, in person or on the telephone; answering questions or inquiries.
  • Optimizes exam room utilization by correctly scheduling appointments in person or by telephone.
  • Coordinates exam appointments as to eliminate schedule conflicts.
  • Works with departments to facilitate add on appointments to best serve the physicians and their patients.
  • Registers patients in an accurate and timely manner to maintain patient appointment times and minimize patient wait times.
  • Documents patient calls and records patient contact information when unable to help immediately. Returns patients' call within 20 minutes or follows up with coworker to ensure return phone call has been completed.
  • Obtains all necessary medical reports for comparison including images and reports.
  • Uploads outside CDs
  • Maintains records of incoming/outgoing cd requests
  • Assists patient navigator in mailing lay letters to patients
  • Enters data for patients.
  • Verifies insurance eligibility and acquires pre-authorization
  • Attends to guests in waiting room to assure that all visitors are attended to
  • Assures all inquiries from referring physicians' offices are attended to in a timely, friendly, and accurate manner.
  • Provides patients with barium and drinking instructions as needed
Duties/Responsibilities:
  • Stocks and replenishes supplies as needed
  • Participates in continuous quality improvement activities as directed.
  • Attends and participates in staff meetings as required.
  • Maintains work area orderliness.
Organization-specific responsibilities:
  • Adheres to dress code requirements and standards.
  • Completes annual competencies and educational requirements.
  • Maintains patient confidentiality in compliance with the Health Insurance Portability and Accountability Act (HIPAA).
  • Wears identification badge while on duty.
  • Adheres to the organization mission, policy, ethics, cultural diversity, patient safety, and other related goals.
  • Promotes a culture of safety, teamwork, quality services, and customer satisfaction.
  • Exhibits a positive image and professional conduct, and is willing to adapt to changes in the institutional roles and needs.
  • Performs and/or accepts other duties as assigned.
Qualifications/skill set:
  • High school graduate or equivalent.
  • Experience with basic personal computer operations.
Physical requirements and work conditions:
  • This position has specific ADA standards that include vision, hearing, repetitive motion, manual dexterity, and lifting and pulling of objects.
  • Ability to communicate and read in English.
