Basic Function:

The Maintenance Service Coordinator is responsible for ensuring the physical facilities and grounds within the community are maintained to provide a safe and aesthetically appealing environment for both residents and prospective residents. This role encompasses various aspects of maintenance including grounds, custodial, preventive, corrective, deferred, and emergency maintenance, while also assisting the Community Manager with their duties.

Key Responsibilities:

  • Deliver outstanding service to residents in a prompt and professional manner.
  • Create daily work schedules for maintenance staff to optimize workflow.
  • Oversee and follow up on work assignments to ensure thorough completion.
  • Establish an on-call emergency maintenance schedule, ensuring all necessary contacts are well distributed.
  • Conduct regular inspections of the community to maintain quality standards.
  • Alert management to maintenance issues along with recommended solutions.
  • Assist in maintaining all maintenance-related documentation.
  • Meet daily with the Community Manager to report on the status of scheduled work.
  • Support move-in and move-out processes effectively.
  • Maintain updated preventive maintenance records, including inventory of spare parts and equipment information.
  • Keep the workshop or utility room clean and organized.
  • Implement a preventive maintenance program to reduce costs and minimize equipment downtime.
  • Sourcing and controlling purchases while overseeing contracted labor.
  • Manage interior painting tasks for buildings and amenities.

Approval Responsibilities:

  • Authorize expenditures following the approved budget guidelines.
  • Approve routine service and repairs in apartments or common areas.

Development and Submission:

  • Prepare and submit proposals for expenditures exceeding the approved budget.
  • Propose and review renovation plans involving structural changes.
  • Plan and present special projects for consideration.
  • Submit requests for repairs and services surpassing budget thresholds for management review.

Education, Experience, and Skills:

Qualified candidates should have a fifth-year college or university program certificate, four years of service experience in an apartment community, or an equivalent combination of education and experience. EPA Universal Level certification and HVAC certification are required.

Physical Abilities:

Candidates must be able to lift and/or move up to 100 pounds and have specific vision capabilities including close vision and the ability to adjust focus. Activities include standing, walking, using hands, and performing physical tasks as needed. Applicants should be results-oriented, self-motivated, and detail-oriented, with mechanical inclination being beneficial.

Supervisory Duties:

This position involves supervisory responsibilities according to organizational policies and applicable laws, including interviewing, hiring, training, planning, directing work, appraising performance, addressing complaints, and resolving issues.

Training Requirements:

The position typically requires a training period of three to six months.

Performance Metrics:

The effectiveness of this role will be evaluated based on:

  1. Timeliness in completing service orders.
  2. Ability to manage maintenance costs effectively.
  3. Supervision of external contractors and maintenance personnel.
  4. Maintaining positive relationships with residents and team members.

Supervision:

This position is supervised by the Community Manager, who will provide performance assessments and evaluations.
