What You'll Do

Meeting Planners are a key member of the Insights Team, which plans over 25 conferences, meetings, and virtual events for our clients in the motor vehicle industry each year. This position will support the end-to-end management of Ducker Carlisle's internal and external events. Meeting planners have responsibility for client communication, content coordination/collection, as well as event logistic planning and management.

Key Responsibilities:

  • Coordinate and track client responses to questionnaires and other conference or meeting related pre-work
  • Manage communication with client attendees before, during, and after events
  • Maintain databases, such as digital file libraries, client databases, project management tools, etc.
  • Research, evaluate and recommend potential meeting sites, such as hotels and other venues
  • Source and negotiate with vendors to support meeting activities, including ground transportation, rentals, supplies, gifts, etc.
  • Design, produce, assemble, pack, and ship meeting materials (name badges, tent cards, attendee lists, signage, etc.)
  • Work closely with Insights Team to review and edit meeting presentations and collateral
  • Support onsite at conferences, including room setup and preparation, managing client check-in, coordinating across hotel, client, and internal teams to ensure high quality meeting experience
  • Manage meeting logistics such as room layout, food and beverage, audio visual, and sleeping rooms
Qualifications:
  • Bachelor's degree
  • 2-5 years of meeting planning or other relevant professional experience
  • Proficiency within Microsoft Office, including Excel and PowerPoint
  • Outstanding communication skills-both written and verbal
  • Strong organizational skills and attention to detail
  • Excellent time management skills and the ability to prioritize multiple tasks
  • A professional and client-facing demeanor
  • Solid problem-solving skills and the ability to work well under pressure
  • Travel is required to several conferences and other meetings to provide onsite support

Compensation

The base salary range for this role is $85,000 - $95,000 annually. Exact compensation is determined based upon qualifications and experience. Senior Meeting Planners are also eligible for a discretionary annual bonus based on company, team, and individual performance.

Please Note: We encourage all our staff to work from a Ducker Carlisle office as often as is feasible; our hybrid work schedule suggests that most local team members work in the office 3-4 days per week when they are not traveling to clients.
