Conventions Specialist II

The Conventions Specialist II plays a key role in coordinating events from start to finish-managing inventory, shipments, returns, and ensuring every event runs smoothly. This position requires strong attention to detail, excellent communication, and the ability to work cross-functionally with Marketing, Sales, Logistics, and internal customers.

Key Responsibilities - Conventions Specialist II
  • Manage full event coordination process once requests are approved.
  • Confirm inventory availability and communicate with event owners.
  • Oversee order management and event inventory planning (goal: 90%+ first-pass fill rate).
  • Mentor Convention Coordinator I team members.
  • Create, enter, and track events within internal systems (SAP).
  • Update inventory master files and coordinate shipments from warehouse/field locations.
  • Provide product guidance and consult with internal customers.
  • Partner with Marketing, Sales, and warehouse teams for event product needs and shipments.
  • Monitor and replenish inventory as needed.
  • Run and maintain weekly/monthly reports; complete follow-up and issue resolution.
  • Stay up to date on policies, promotions, and compliance requirements.
  • Recommend process improvements and support the broader Conventions team as needed.
Qualifications - Conventions Specialist II
  • High school diploma required; advanced degree preferred.
  • 3-5 years of high-volume customer service, order management, or event coordination experience.
  • Strong communication, problem-solving, and decision-making skills.
  • Highly organized, detail-oriented, and able to manage multiple events simultaneously.
  • Proficient with Microsoft Office; SAP and Microsoft Access experience strongly preferred.
  • Experience in event planning or related field is a plus.
  • Ability to work in a fast-paced environment handling 650+ events annually.
  • Knowledge of medical terminology helpful but not required.
