DSP Scheduler

Working closely with supervisors from the Residential Services and Recreation Therapy departments, the DSP Scheduler reviews and adjusts Direct Support Professional (DSP) schedules and assignments based on approved staffing numbers to ensure the safety, supervision, and active treatment for all individuals residing at St. Mary's Home. The DSP scheduler is responsible for maintaining the master schedule for all DSPs working at St. Mary's Home and issuing routine schedules to all DSPs every 6 - 8 weeks. Additionally, they maintain electronic employee records related to scheduling and payroll. They respond to urgent changes in staffing during their work hours and are a point of contact for staff calling out for their shift. The DSP Scheduler also serves a vital role in the tracking and documentation of mandatory DSP training in collaboration with Staff Development.

Responsibilities:

- Maintain and modify the Home's master schedule for all DSP positions using the scheduling system (i.e., adding new DSPs, removing DSPs after separation, and updating the master schedule when DSPs change positions).
- Prepare DSP schedule to maintain appropriate staffing levels for each unit on a 24- hour basis according to administrative requirements and maintain an appropriate DSP-to-individual ratio that is in compliance with budgeted numbers.
- Assess DSP schedules for each unit on a routine basis and update the schedule as needed, such as to:
- identify open shifts and actively work to adjust DSP schedules and recruit to fill open shifts
- adjust schedules based on daytime staffing needs related to school openings/closures
- assign staff for 1:1 supervision or isolation rooms
- ensure staff schedules are accurate while out for medical illness, until cleared to return to work.
- Receive calls from DSP staff that will not be reporting for work as scheduled, adjusting the shift schedule to ensure safety numbers are met for each unit; E.A.R.L. Phone Program
- Manage the scheduling of PRN DSPs and monitor compliance with PRN scheduling requirements.
- Access information from a confidential database of contact information DSP staff (i.e., home phone numbers, cell phones, email addresses, etc.)
- Meet regularly with Managers to ensure that information about staff is updated; this includes schedule criteria, cross-training completion and other information necessary to keep the schedule and employee records accurate and current.
- Assist Staff Development with new hires to ensure training and schedules are completed and records of training are maintained in the appropriate electronic record systems.
- Coordinate with Staff Development on training for staff and schedules staff for their mandatory trainings as needed.
- Collaborate with Administrators in staffing strategies by providing data and historical references.
- Coordinate with various departments to find emergency transportation for staff and residents.
- Expected to work during weather emergencies to coordinate with managers related to staffing and transportation arrangements when applicable.
- Other duties as assigned.
Required Education/Experience
The DSP Scheduler qualifications will consist of a High School Diploma or GED, some college preferred. Knowledge of scheduling systems and the principles and practices involved, timekeeping systems and report writers preferred. Strong work ethic and team player. Must be knowledgeable in Microsoft Word, Excel and Outlook. High degree of professionalism and confidentiality. Strong interpersonal (verbal and written) communication skills. Ability to communicate with various levels of employees. Strong organizational, time management, multi-tasking, and prioritization skills.
Work Environment/ Physical Demands/Essential Functions
This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, photocopiers and smartphones. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and ability to adjust focus. This would require the ability to lift files (generally no more than 35 pounds), balance when working in filing cabinets. Ability to stand for periods of time, mobility to walk throughout the facility and bend or stand on a step stool as necessary.
