What You'll Do:
  • Oversee a large portfolio of unrestricted gifts and non-reporting WBSEs, ensuring timely fund transfers, accurate deposits, and donor coordination.
  • Provide monthly financial reporting, forecasting, and transaction approvals across Buy@Duke, AP, and TRaC systems.
  • Monitor and manage faculty cost centers including start-up, research, and discretionary accounts, ensuring compliance and accuracy.
  • Collaborate with CGMT and departmental liaisons to plan and manage faculty summer salary, RBOs, and related activities.
  • Partner with graduate and undergraduate program leads to coordinate annual budgets, maintain financial trackers, and project multi-year funding needs.
  • Reconcile and analyze departmental accounts, providing financial assessments and risk identification to the Senior Business Manager.
  • Serve as the departmental lead for corporate card management, including training, reconciliation, and compliance documentation.
  • Manage accounts receivable activities such as royalties, event registrations, and internal transfers.
  • Act as an authorized approver for financial transactions and submissions to University Cashiers and Gift Records.
  • Support pre-award activities by reviewing budgets, approving proposal deadlines, and ensuring sponsor compliance.
  • Assist new faculty with grant setup and initial financial planning.
  • Develop and maintain departmental financial trackers for IOUs, MOUs, and other commitments.
  • Provide reconciliation and oversight for service centers, including billing, fee structuring, and major purchases.
  • Collaborate on workflow documentation, process mapping, and data quality assurance across departmental systems.
  • Liaise with the Chair, Business Manager, and Senior Program Coordinator on special projects and operational initiatives.
Minimum Qualifications:
  • Education: Bachelor's degree in Accounting, Economics, or a related business field.
  • Experience: Entry-level candidates with a relevant degree are welcome. Preferred candidates will have at least three years of experience in financial management, cost accounting, or a related field - or an equivalent combination of education and experience.

  • Ability to interpret and apply complex financial and HR policies.
  • Excellent organizational, written, and verbal communication skills.
