Description

Job Purpose:

The Escrow Officer is responsible for managing real estate closings from opening through funding and post-closing delivery. This role coordinates communication between buyers, sellers, lenders, and real estate agents to ensure all transaction requirements are met accurately and on time. The Escrow Officer reviews title commitments, prepares settlement statements and closing documents, balances files, conducts closings, and ensures proper disbursement and recording. This position plays a critical role in delivering exceptional customer service, maintaining regulatory compliance, and protecting the financial interests of all parties involved in the transaction.

Key Responsibilities:

  • Open and process escrow files in accordance with company procedures and lender requirements.
  • Review title commitments, purchase agreements, loan instructions, and supporting documentation.
  • Prepare closing disclosures, settlement statements, and escrow instructions.
  • Collect and verify payoffs, invoices, insurance, and required clear-to-close items.
  • Conduct in-person, virtual, or mail-away closings with buyers and sellers; explain documents clearly and professionally.
  • Manage disbursements, balance files, and ensure accurate funding and recording of documents.
  • Communicate proactively with agents, lenders, customers, and internal partners to resolve questions and maintain closing timelines.
  • Monitor shared inboxes, respond to inquiries, and support customer service efforts throughout the transaction lifecycle.
  • Ensure compliance with ALTA best practices, company policies, and state regulatory requirements.
  • Coordinate post-closing follow-up, including recording, policy issuance, and final file delivery.
  • Collaborate with escrow assistants, managers, and title departments to meet service expectations and deadlines.
Requirements

Education & Experience:

High school diploma or equivalent required; post-secondary education preferred.

Previous experience in title, escrow, real estate, lending, or legal services required (2+ years preferred based on market).

Thorough knowledge of settlement procedures, closing documents, and real estate practices is strongly preferred.

Technical Proficiency:

  • Experience with settlement or title software (e.g., SoftPro, RamQuest, ResWare) preferred-training available.
  • Ability to learn industry-specific platforms such as e-recording systems, lender portals, wiring systems, and document tracking tools.
Other Requirements:
  • Notary commission preferred or ability to obtain one.
  • Background check required.
  • Ability to sit, stand, or lift file boxes occasionally.
  • Reliable transportation may be needed for courier or signing appointments.
