Position Overview
The Administrative Support Specialist plays a crucial role in maintaining the operational efficiency of our branch. This position provides essential support to the Branch Manager, including calendar management, the effective coordination of business meetings, and email management. You will be expected to prioritize and manage multiple projects with independent judgment in addressing administrative needs.
Job Responsibilities:
- Manage calendars for the team and Branch Manager, coordinating business meetings through platforms like Teams, Zoom, and Outlook.
- Oversee emails, letters, packages, phone calls, and other correspondence.
- Arranging travel plans and reservations as necessary.
- Draft well-organized, grammatically correct emails independently.
- Utilize software applications, such as spreadsheets and relational databases, to keep management and teams informed on clients and transactions.
- Perform administrative tasks including conducting research, updating databases/CRM, and tracking tasks for follow-ups.
- Assist branches with day-to-day operations, including opening and tracking support tickets, resolving billing issues, and following up on outstanding documents.
- Support branches with onboarding and offboarding procedures.
- Prepare expense reports and reconcile receipts.
- Handle various personal administration tasks as needed.
- Be open to cross-training in different departments.
Qualifications and Skills:
- High School diploma or equivalent is required.
- Previous experience in banking, financial services, or mortgage is preferred but not mandatory.
- Exceptional communication skills.
- Strong time management and organizational abilities.
- Proficiency in Microsoft Office Suite.
