Part-Time Procurement Specialist

Hybrid (Bradenton / Mt. Dora, FL site coordination with some remote options)

Hours: 20-25 hours per week

As a growing licensed medical cannabis operator in Florida, our organization currently supports 10 operational retail locations with continued expansion on the horizon. With increasing production demands, new product launches, packaging updates, and ongoing regulatory requirements, our procurement operations are scaling rapidly. We are seeking a Part-Time Procurement Specialist to support our Procurement Manager and help streamline purchasing, vendor communications, and compliance coordination across the business.

Job Summary:

The Procurement Specialist will play a key role in supporting daily purchasing activities, order tracking, vendor sourcing, compliance submissions, and new product/packaging coordination. This role is ideal for someone who is organized, detail-oriented, proactive, likes technology and experienced in procurement or supply chain administration-particularly within regulated industries.

Key Responsibilities:
  • Maintain and update the Purchase Order (PO) Tracker.
  • Ensure all POs in Business Central reflect accurate product details, quantities, and delivery statuses.
  • Track open POs and schedule calendar invites for inbound deliveries to Bradenton and Mt. Dora hubs.
  • Assist with internal approval routing for new purchase orders and payment confirmations.
  • Support cross-functional communication between procurement, finance, operations, and retail teams.
  • Assist with weekly inventory pulls and plan-vs-forecast reconciliation.
  • Compile data to identify restock needs and flag supply gaps proactively.
  • Assist in sourcing new vendors for grow supplies, packaging, apparel, and accessories.
  • Gather multiple quotes and compile cost comparison sheets.
  • Maintain organized vendor records including pricing sheets, quotes, terms, and contracts.
  • Follow up on vendor lead times, delivery schedules, and outstanding orders.
  • Consolidate vendor updates and distribute across internal teams as needed.
  • Assist with packaging artwork coordination, including ensuring proofs match approved specs.
  • Support tracking of artwork versioning and maintain compliance documentation for OMMU submissions.
  • Communicate packaging updates and delivery timing to cultivation teams based on production schedules.
  • Work with internal partners and vendors to support new packaging changes and product launches.
  • Support Retail and Marketing teams with Merch & Accessories ordering.
  • Assist in collection and organization of required documentation for submitting new delivery devices or accessories to the OMMU.
  • Gather quotes for retail supply quantities across multi-store operations.
  • Support weekly ordering of essential cultivation supplies, such as:
• Equipment

• Soil

• Nutrients

• Consumables & operational grow materials
  • Coordinate vendor deliveries to cultivation hubs.
  • Improved visibility and accuracy across procurement, receiving, and inventory operations.
  • Faster turnaround time for vendor communications, ordering, and internal approvals.
  • Stronger compliance support for OMMU submissions and packaging updates.
  • Reduced administrative burden on operations, retail, and procurement leadership.
  • More organized data and documentation to support cost control and operational planning as the company scales.


Benefits:

Pay: $21.00-$23.00/hr- offer dependent on experience

Requirements:

• 2+ years of experience in procurement, purchasing, supply chain, or administrative operations (cannabis, retail, manufacturing, or other regulated industries preferred).

• Strong organizational and communication skills.

• Proficiency with PO systems and ERP platforms (Business Central experience a plus).

• Ability to manage multiple priorities and deadlines in a fast-moving environment.

• Familiarity with compliance and documentation workflows (experience with OMMU processes a plus).

• Comfortable coordinating deliveries and vendor communications in a multi-site environment.
