Job Summary:
The Specialist, National Team Support & Services develops strong working relationships with National Team and National Junior Team coaches and athletes, USOPC Operations, Pool, Sports Medicine, Strength and Conditioning and Facilities staff, and USADA Whereabouts and Education Team Members. The Specialist, National Team Support and Services, manages all NT programs at the USOPTC, coordinating logistics, services and compliance with all requirements. The Specialist, National Team Support and Services, oversees all aspects of USA Swimming's partnership with the Olympic Education Team at USADA, in addition to their Olympic and Paralympic Programs team. The Specialist, National Team Support and Services, works closely with National Team Division and Sport Development staff to provide athletes and coaches with various opportunities.
Essential Duties & Responsibilities:
- Manage all Olympic & Paralympic Training Center ("OPTC") camps for athletes, clubs, and coaches, including but not limited to:
- National Team, National Junior Team, National Select, National Diversity, and visiting National Team athletes' camps, USA Swimming Sports Medicine Network annual meeting, and Local Swimming Committee and club leadership programs.
- Requests for OPTC housing and facility space, including staff and club requests.
- Submission of club requests, documentation and notification to clubs of acceptance or decline status.
- Coordinate training and meeting schedules for each camp with facility managers, USA Swimming staff and U.S. Olympic & Paralympic Committee ("USOPC") staff, as needed.
- Verify accuracy of OPTC/ USOPC funding reports.
- Confirm USA Swimming memberships in good standing (including Athlete Protection Training and background screens) for camp participants.
- Work with Accounting to produce accurate camp training invoices.
- On call for USOPC staff and camp coordinators to address challenges and concerns, or provide assistance, during time at the OPTC.
- Doping Control management and compliance by:
- Managing out of competition doping control compliance, including whereabouts accuracy, education, whereabouts reminders to NT athletes and missed test appeals.
- Develop USA Swimming's domestic competition testing plan each year and provide all documentation to the U.S. Anti-Doping Agency.
- Manage all aspects of in-competition doping control, including communication with meet directors, on-site coordinators, U.S. Anti-Doping Agency staff, coaches, and USA Swimming staff.
- Maintain accuracy of U.S. Center for Safe Sport working list for U.S. Anti-Doping Agency coordinators.
- Direct all aspects of USA Swimming / USADA doping control education partnership, to reach hundreds of athletes and coaches, to include:
- Scheduling in-person and/or webinars for teams training at the OPTC, international teams, USA Swimming camps, athletes competing at World Aquatics competitions, and the National and National Junior Teams.
- Provide doping control resources documents, handouts, and education for athletes (and parents, if minors) named to international teams, camps, and OPTC team training.
- Educating coaches of athletes registered for USA Swimming national-level competitions.
- Coordinate the athlete funding process by documenting, tracking, submitting, and following up on all athlete funding requests/payments/required tax and bank information.
- Maintain accurate and detailed athlete and coach records for Coach Incentive Program, via communications with athletes, coaches, and parents.
- Work with Sport Development Division to determine educational opportunities for Local Swimming Committee and club leadership programs.
- Distribute information via USA Swimming communications newsletters.
- Sort fan mail and coordinate shipments to athletes on a monthly basis.
- Travel to domestic competitions as needed.
- Strong organizational skills.
- Ability to anticipate potential challenges, adapt quickly, and problem-solve.
- Team player with high-level interpersonal skills.
- Ability to communicate effectively with internal and external constituents.
- Detail oriented, and ability to be highly organized in a fast-paced environment.
- Proficient with Microsoft Office Suite or related software.
- A bachelor's degree in sports management, related field, or equivalent.
- Minimum four years' experience in administration, event planning, or related field.
- Experience working for a non-profit or National Governing Body preferred.
- Experience working in the sports industry, specifically swimming preferred.
- Domestic travel as requested by the National Team Managing Director.
- Must be able to lift up to ten pounds.
- This position works in an office setting in the USA Swimming headquarters office in Colorado Springs, CO; must be willing to relocate to Colorado Springs, CO, or the surrounding area.
