Document Control Specialist

We are seeking a Document Control Specialist for our First Quality Tissue facility located in Defiance, OH. The on-site Document Controls Specialist (DCS) is responsible for maintaining the quality and integrity of the project documents for legal, archival, and audit purposes. The DCS will manage a high volume of documentation for the First Quality construction management team. Document control responsibilities include document security, retrieval, distribution, revision-control, and the removal and destruction of obsolete documents, all in accordance with company policy.

Primary responsibilities include:

• Engineering drawings
  • Electronic receipt, revision control, retrieval, distribution, archiving
  • Hardcopy revision control, retrieval, distribution, archiving
• Vendor documentation processing
  • Specifications and instruction manual receipt, revision control, distribution and retrieval, archiving
• Transmittals - hardcopies and electronic
  • Incoming and outgoing documentation - log with a unique identification number, distribute per project procedures, file and maintain electronically
• Project logs and lists - develop and maintain
  • Engineering drawing and vendor document lists
  • Drawing and documentation check-out logs
  • Incoming and outgoing transmittal logs
  • Inspection, permit, liens, etc. logs
• Check-Out/Commissioning Activities
  • Populate documentation for commissioning
  • Coordinate contractor information into master commissioning records
• Close out documentation
  • Assist contractors/vendors with preparation of close out documentation
  • Gather, audit, and historize close-out documentation into plant documentation control system (Vault)
• Printing, plotting, scanning, emailing, copying, & filing

The ideal candidate should possess the following:

• 5+ years' experience in document control
• Proficient in Microsoft Office including Excel, Word and PowerPoint
• Proficient utilizing SharePoint
• Experience with AutoCAD/Autodesk products including Vault Historian, AutoCAD and Navis Works
• PDF editing (PDF writer, Blue Beam)
• Exceptionally organized and detail-oriented
• Ability to carry out tasks to completion in a high paced environment
• Excellent interpersonal and communication skills-written and verbal
• Professional demeanor, discretional handling confidential documents, ability to work with construction teams
• Travel during first 60 days for orientation and site visits
