SUMMARY

The position is intended to be a Post Closing Specialist and Servicer in the Loan Operations Department. Specifically, focusing on servicing loans post-closing within the Bank's consumer, residential, and commercial portfolios. Duties will include ensuring loans are booked appropriately, closed correctly, perfection of collateral, tracking of collateral documentation and due diligence items. This position will also serve as a backup for all other duties within the loan operations/servicing department. This position provides for additional dual control for the operations department.

ESSENTIAL DUTIES
  • Perfection and tracking of real estate collateral, such as, Mortgages, Assignment of Leases and Rents, Final Title Policies - create & maintain ticklers for these items in core system. Image perfected collateral into core system. Maintain collateral tracking in core system and other various systems used by lending team.
  • Perfection and tracking of Certificates of Title, such as, Automobiles, Motorcycles, and Watercraft - create & maintain ticklers & reports for these items in core system. Image perfected collateral into core system. Maintain collateral tracking in core system and other various systems used by lending team.
  • Perfecting, amending, terminating and tracking of UCC filings - create & maintain ticklers & reports for these items in core system. Image UCC filings, amendments, terminations into core system. Maintain collateral tracking in core system and other various systems used by lending team.
  • Process collateral releases & closed cards - prepare and release collateral for all loan types (consumer, commercial, and residential) when necessary - loan has paid off, been refinanced, etc. Will also process partial releases. This will also include maintaining ticklers and tracking recordation of releases.
  • Maintain and update the financial tracking ticklers in core and other various systems used by lending team, if required. This will include imaging "annual reviews" into core system and maintaining ticklers/covenant waivers when necessary.
  • Perform a "Post Close Audit" on Commercial Loans - ensure documents and required signatures are present, compare documentation/approvals to core system, correct errors where needed, coordinate with process and follow up when necessary.
  • Process consumer, commercial and real estate loan payments and advances, including the Bank's participation loans. Change interest rates on participation loans when needed.
  • Maintain and track the Vendor Fee GL and subsequent invoices paid and/or collected funds. Keep detailed record of when an invoice was paid or when funds were collected using the Vendor Fee GL.
  • Execution of draws and creation of wires related to the Bank's construction loan book.
  • Maintain the Bank's Floorplan loans - includes, but is not limited to applying payments, adding loan segments to the floorplan, paying off loan segments, sending out bills, tracking client invoices, and imaging appropriate documentation to core system.
  • Create and maintain file folders in Bank's filing system - this will include creating new folders for new loans, adding additional documentation to existing file folders when necessary. Maintaining the upkeep and ensure organization of the Bank's filing system.
  • Board completed consumer (non-real estate) loans to the Bank's core system from the loan documentation software system.
  • Image completed loans & subsequent documentation into core system - includes but is not limited to loan documents, due diligence, notes, correspondence, and financials.
  • Review and compare loan renewals, modifications, and extension for accuracy between core system and loan documentation.
  • Answer the telephone; respond to routine loan officer or customer inquiries relative to account balances, loan balances and payoff requests.
  • Assist loan officers and other personnel to ensure proper related documentation is prepared and/or provided.
  • Correct loan accounting system errors as necessary.
  • May process various loan reports and callbacks.
  • Provide effective customer service and assist in resolving problems within given authority.
  • Calculates loan pay off amounts for certain types of loans.
  • May be required to perform official notary services.
  • Type or create routine letters, reports, and forms.
  • Maintains files, copies and faxes documents.

MINIMUM REQUIREMENTS

  • High school diploma or certificate from college or technical school; or related experience and/or training; or the equivalent combination of education and experience. Work related experience should consist of a credit or loan processing background. Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.
  • Basic experience, knowledge and training in lending activities, terminology and products and services.
  • Basic knowledge of related state and federal banking compliance regulations, and other Bank lending policies.
  • Basic knowledge of commercial, construction, real estate, and consumer mortgage loans and documentation.
  • Basic level of work experience, knowledge and training in mortgage loan servicing activities and terminology.
  • Basic skills in computer terminal and personal computer operation; host computer system; word processing, spreadsheet and specialty software programs.
  • Basic typing skills to meet production needs of the position.
  • Basic math skills; calculate interest, commissions, proportions, and percentages; balance accounts; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors; compute rate, ratio and percent.
  • Effective verbal, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees.
  • Ability to deal with routine problems involving multiple facets and variables in standardized situations.
  • Good organizational and time management skills.
  • Ability to work with general supervision while performing duties.
  • Current driver's license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities.
