Job Description

Required Education:
• High School Diploma or Equivalent

Required Skills, Experience, and Knowledge:
• Strong computer skills with the ability to multitask across multiple systems
• Advanced proficiency in Microsoft Excel, including formulas and reporting
• Professional proficiency in Microsoft Outlook and Word
• Fast, accurate data entry skills
• Strong organizational, problem-solving, and communication abilities
• Ability to remain calm and dependable in high-pressure staffing situations

Preferred Skills, Experience, and Knowledge:
• Experience with staffing software such as eVital, Kronos, or SmartLinx
• Familiarity with payroll systems
• Previous experience in a healthcare or nursing home environment

Staffing Coordinator Job Responsibilities:
• Develop, maintain, and adjust nursing schedules for all shifts
• Monitor staffing levels, census, acuity, call-outs, overtime, vacancies, and agency usage
• Ensure appropriate RN, LPN, and CNA ratios and skill mix
• Identify staffing gaps and escalate concerns to the DON or ADON
• Assist with interview scheduling and coordination for nursing leadership and HR
• Maintain staffing, overtime, call-out, and vacancy tracking spreadsheets
• Create reports for DON, HR, and Administration using Microsoft Excel
• Use formulas, sorting, and filtering to ensure data accuracy and usability
• Maintain nursing education and in-service tracking records
• Monitor evaluation timelines and notify supervisors when reviews are due
• Take minutes for nursing meetings and prepare reports for leadership
• Manage calendars and meeting schedules for the nursing department
• Support compliance with CMS staffing expectations and survey readiness
• Maintain accurate, organized electronic and paper records in accordance with policy
• Work closely with nursing leadership, supervisors, HR, and administration
• Coordinate with Medical Records to ensure proper handling of incident reports
• Maintain strict confidentiality in compliance with HIPAA and HR standards
