SUMMARY

This position is responsible for administrative functions and volunteer support across medical departments supporting processes that use veterinary medical terminology to perform tasks, communicate and support documentation and databases. The Vet Clinic Administrator maintains collaborative and cross-functional areas that include breeding and veterinary clinic operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Performs a variety of veterinary medical related administrative and clerical duties that involve setting appointments, processing paperwork, updating records, requests for general information material, mailings, photocopying, faxing, phone and email correspondence.
  • Serve as a primary user for the operational software including Microsoft Dynamics 365 and volunteer software Volgistics®. Manage operational calendars in Outlook databases.
  • Make reminder calls to raisers about upcoming appointments.
  • Triaging phone calls.
  • Collect supplies for dogs in class and delivery dogs.
  • Entering career changes and emailing appropriate people; maintain accurate information on dog status in databases and communicate updates across departments.
  • Manage cross departmental communication updates to client services and puppy development regarding the status of graduate return canines. Email notes to Client Services and Puppy Development on grad return exams.
  • Complete drug and supply orders.
  • Complete initial communication with vet student requests for externship, including scheduling their stay in the residence and collecting appropriate forms and documentation.
  • Health certificate compilation, including puppies and graduate dogs. This would include typing up the certificate and submitting it to the appropriate government agency.
  • Breeding: managing puppies in flight, and transport of dogs to and from vet offices.
  • Collaborates with the volunteer/team engagement department as needed, to identify the need for volunteers as well as interviewing, training, and providing on-going supervision and feedback, support, and recognition of volunteers working within the department.
EDUCATION AND EXPERIENCE

One to three years of progressive experience as an Administrative Veterinary Assistant/Receptionist or operations support; experience working with volunteers is preferred. Knowledge of veterinary medical terminology is highly preferred. LVT or veterinary assistant experience is desirable.
KNOWLEDGE, SKILLS AND ABILITIES
  • Exceptional interpersonal, verbal, and written communication skills, as well as excellent phone etiquette.
  • Possess strong customer service skills.
  • Strong organization skills, handle multiple priorities, and work well under pressure.
  • Proficient in latest version of Microsoft Office products.
  • Ability to work independently with little supervision and accept direction on given assignments.
  • This position may be required to be on campus when deemed necessary at the direction of management.
  • Work effectively with volunteers in the organization, providing clear directions and guidance.
  • Strong office administration, be able to maintain files and keep items in a logical and organized manner and have acuity with detail; ability to operate most office equipment.
  • Possess sound business judgment, exercise professional conduct, understand and follow business ethics and standards, and maintain a high level of confidentiality in all duties.
  • Comfortable with and willing to work around large dogs.
  • Willing to perform general public relations duties on behalf of Leader Dog (perform tours, answer general questions, be a professional and courteous representative of Leader Dog, etc.).
  • Ability to establish and maintain professional, productive, and courteous interactions with employees that promote positive teamwork, as well as with volunteers, donors, clients, and all constituents of Leader Dog. This encompasses going beyond giving and receiving instructions and includes but is not limited to (a) performing work activities requiring interacting or speaking with others; and (b) responding appropriately to constructive feedback or suggestions for improvement from a supervisor.

Employee is occasionally required to lift and move up to 15 pounds. May be moving dogs on leash that are up to 65 pounds.
