Duties and Responsibilities
  1. *Under the direction of the College of Social Sciences (CSS) Advising, Civic and Community Engagement in the Social Sciences (ACCESS) Director, coordinates college-wide programs geared towards student experience. Provides academic-related services to current and incoming CSS students, with a focus on veterans and military affiliated students.
  2. *Coordinates with the University of Hawaii at Manoa Office of Veteran Student Services to recruit eligible students and organize programs, events, and activities that promote the educational success of student veterans and military affiliated students.
  3. *Maintains knowledge of current policies and regulations related to student veterans and military affiliated students (spouses, dependents, caregivers, reserve, guard, and active duty) to ensure a smooth transition for student veterans and military affiliated students.
  4. *Provides information on various education programs available to Veterans Affairs (VA) beneficiaries and active-duty military members.
  5. *Works with prospective employers and community organizations to develop internships and service learning opportunities within intelligence studies, military, and related fields.
  6. *Coordinates programs, events, and activities for the CSS intelligence studies interdisciplinary program.
  7. *Advises and guides students in making academic decisions, develops individual academic plans that are consistent with their interests, goals, abilities, and degree requirements while ensuring compliance with Department of Defense (DoD) and VA policies and guidelines, and approves enrollment for each student prior to certification.
  8. *Performs administrative reviews tasks including registration, resource referral, and processing of academic related actions for VA, DoD, and CSS. Ensures students complete all required forms for admissions and financial aid; navigates students through the financial aid and military tuition process. Resolves and follows up on registration related problems, concerns, and/or discrepancies.
  9. *Reviews requests for course overloads, waiver of course prerequisites, and special admission; evaluates registration procedures and instructions and makes recommendations for improvements.
  10. *Conducts group and individual information sessions for CSS undergraduate majors and prospective majors.
  11. *Provides information to CSS students requesting readmission to the university after probation, suspension, and/or dismissal and takes appropriate actions.
  12. *Evaluates prospective students, reviews applications, and maintains applicant tracking records.
  13. *Audits, monitors, and evaluates enrollment, individual student academic progress, and the impact on degree seeking goals, including evaluation/accuracy of transfer credits, progress checks, graduation checks, and appropriate institutional actions. Updates academic records for CSS students; provides reports of graduation and academic actions, as needed.
  14. *Participates in orientation for new CSS students.
  15. *Establishes and maintains regular communication with CSS majors via email and other means to facilitate access to research, scholarships, internships, employment, and other opportunities for students.
  16. *Apprises CSS students of the academic petition procedures and deadlines. Resolves CSS students' academic petitions in a timely manner.
  17. *Serves as a liaison to the various internal/external agencies (Admission/Records, Registrars, Cashiers, Academic departments, etc.) to resolve and/or assist in resolving any student issues, concerns or problems.
  18. *Performs exit interviews for each graduate and compiles interview data each semester and recommends program improvements to the ACCESS Director.
  19. *Contributes to the development of CSS advising protocols and program advancements as part of the ACCESS advising team.
  20. *Keeps abreast with UH curriculum changes and academic information important to CSS undergraduate students. Participates in on-campus trainings and informational sessions concerning changes in GenEd or CSS degree requirements.
  21. *Contributes to a work environment that encourages knowledge of, respect for, and development of skills to engage with those of varied backgrounds and learning differences.
  22. *Leads, and manages work priorities, projects, and employee relations of subordinates.
  23. *Represents CSS and attends academic-related events, activities and meetings which may involve work outside of normal business hours, including evenings, weekends, and/or holidays as needed, and travel to off-campus locations, including inter-island.
  24. Contributes to development of websites, publications, and printed program information documents for degree requirements, academic opportunities, student recruiting, and monitoring of student progress.
  25. Provides support, assistance, and coordination, as needed, including but not limited to the work of various CSS collaboration teams such as outreach and recruitment, international programs, pathways, internships, service learning, signature events, etc.
  26. Participates in the coordination of college-wide events and activities (e.g., Week of Welcome, Welina Manoa, Discover Manoa, Aloha Reception, Parent/Student Welcome events and activities, college-specific graduation events) in collaboration with staff, volunteers, and relevant offices. Contributions may include assisting with events planning, implementation, evaluation, reporting and recordkeeping, negotiation of events space, food/beverages, audiovisual equipment, decor, and signage, to produce high quality CSS events/activities.
  27. Analyzes and evaluates college events for effectiveness and makes recommendations and adjustments as needed.
  28. Other duties as assigned.

Minimum Qualifications
  1. Possession of a baccalaureate degree in Social Sciences, Arts and Sciences, Education, Humanities or related field and 3 year(s) of progressively responsible professional experience with responsibilities for higher education academic advising; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
  2. Considerable working knowledge of principles, practices and techniques in the field of academic advising or student academic services as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
  3. Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with academic advising or student academic services.
  4. Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
  5. Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing software.
  8. If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
  9. Demonstrated ability to prioritize and organize workload to meet scheduled deadlines.
  10. Demonstrated ability to work in a fast-paced environment.
  11. Demonstrated ability to follow oral and written instructions.
  12. Knowledge of the Family Educational Rights and Privacy Act (FERPA).
  13. Ability to travel independently to various geographical locations in a timely manner. Requirement may be fulfilled by a valid Hawai`i Driver's license (Class 3), comparable driver's license, or other means of transportation which meets position needs.
Desirable Qualifications
  1. Knowledge of CSS undergraduate programs, curricula, and/or procedures and policies, as they relate to academic advising.
  2. Knowledge of creation, development, and implementation of college-level academic programs.
  3. Experience in utilizing STAR and Banner to assess student progress toward graduation.
  4. Experience in academic advising at University of Hawai`i at Manoa (UHM) and knowledge of UHM policies and procedures as it relates to academic advising.
  5. Experience working with students of varied backgrounds.
  6. Experience in academic advising in social sciences.
