Job Title: Front Desk Supervisor

FLSA Status: Non-Exempt

Salary Range: $17.50-$18.00 per hour
POSITION FOCUS
Responsible for the coordination and the supervision of the front desk staff; maintaining a high level of customer service. Coordinating membership events and the promotion of the DISC.
SUPERVISORY RESPONSIBILITIES AND RELATIONSHIPS
Reports to the Guest Experience and Membership Supervisor. Responsible for hiring, training, and scheduling all front desk staff (10-15 part time employees)
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Responds promptly to telephone and in-person patron inquiries by providing general information and directing callers to the appropriate person
- Help potential members learn about the facility - taking them on tours when needed
- Sell new memberships and help them sign up for fitness classes as well as other activities and leagues
- Work with Silver Sneakers & Renew Active organization to set up member
- Implement membership strategies that support recruitment of new members and retention of existing members
- Maintain a system for tracking facility tour statistics set by the Membership Coordinator
- Coordinate with the Fitness Supervisors to schedule member orientations
- Receive and process pass, activity, league, and trip registrations.
- Transactions involving payment by cash, credit cards, checks, debit cards, and gift certificates while maintaining appropriate cash controls
- Balances drawer at the end of the shift
- Learn current RecTrac and other related software to effectively perform assigned tasks.
- Maintain stock of flyers and all other forms for easy access by customers and staff
- Daily printing of current facility schedules for Front Desk use and updating of hotline daily
- Maintain and keep up to date all front desk manuals
- Coordinate day to day operations at the front desk including keeping accurate front desk daily notes
- Responsible for locker assignments and payments
- Knowledge of current DISC and front desk policies and procedures
- Responsible for hiring front desk staff
- Responsible for training new front desk staff in DISC procedures and policies
- Responsible for front desk part time staff scheduling using the "When to Work" program to streamline staff scheduling and communications with PT staff
- Process part-time front desk staff payroll and coordinates with DISC Assistant Manager on MU timesheets
- Responsible for coaching and disciplining part time front desk staff
- Evaluate PT staff in quarterly to yearly evaluations
- Maintains sufficient office supplies at the front desk
- Help customers understand the online registration process
- Coordinate Front Desk meetings as often as possible to maintain good communication with the Front Desk staff
- Maintains a neat front desk area and performs light cleaning and tidying, as needed
- Assist new members with paperwork
- Develop creative ways to recruit and retain memberships
- Filing various forms as requested
- Maintains a good working relationship with members and visitors to the DISC at all times
- Maintains a clean and organized work environment
- Responsible for placing front desk staff uniform orders and sending in payroll deduction amounts
- Update the lobby TV when needed
- Assists in the promotion of all Park District activities
- Performs support staff duties when support staff is not present
- Performs other duties as assigned
REQUIRED KNOWLEDGE, ABILITIES AND SKILLS
- Basic knowledge of front desk or reception desk operations
- Ability to respond to inquiries and requests received from the general public
- Capacity to provide a high level of customer service to internal and external customers
- Ability to maintain positive and effective working relationships with other employees, children and the general public
- Ability to work with general direction from immediate supervisors
- Capacity to work and maintain composure in periods of high activity and in emergency situations
- Capacity to follow through on tasks to completion

EDUCATION, EXPERIENCE AND TRAINING
One-year certificate from college or technical school; or minimum of two years' work-related experience and/or training; or equivalent combination of education and experience. The ability to operate a network computer utilizing word processing, spreadsheet, and recreation software applications as may be necessary to perform essential job functions.
HOURS
- Minimum of 40 hours per week with extra hours as needed for shift coverages
- General hours of work will be Mon-Fri, 8am-5pm. Employee must be available to work a combination of daytime, evening, split shift, weekend and holiday hours assigned by the Guest Experience and Membership Supervisor
- Will be at the Front Desk a minimum of 30 hours per week
