Job Summary

The Regional Total Rewards Manager is responsible for supporting the strategic design, implementation, and administration of compensation, benefits, retirement, rewards and wellness programs for employees. This role ensures that total rewards offerings are competitive, compliant, and aligned with operational goals, while supporting employee engagement and retention.

Key Responsibilities

Benefits & Pension Management
  • Support the design and administration of group benefits and retirement programs (e.g., 401(k), RRSP, DB/DC pensions).
  • Partner with vendors and consultants to evaluate plan performance and recommend enhancements.
  • Plan and execute annual open enrollment processes for benefits programs.
  • Administer group benefits programs including health, dental, vision, life, disability, wellness, and retirement plans (401(k), RPP pensions, etc.).
  • Evaluate and recommend updates to benefit offerings to maintain competitiveness and cost-effectiveness.
  • Act as liaison between benefit providers, HR site coordinators and employees to investigate discrepancies and provide information in non-routine situations for problem resolution, including reviewing claims and researching problems as they arise.
  • Review and analyze changes to state and federal laws pertaining to benefits and wellness; ensure compliance with all related laws and regulations
  • Review and monitor FMLA requests; auditing system to ensure site Human Resources are completing proper FMLA process
  • Oversee benefits systems and ensure data accuracy and timely processing of enrollments, changes, and terminations.
  • Collaborate with Finance, HRIS and payroll teams to maintain system integrity
  • Coordinate with vendors and internal teams to ensure accurate system setup and employee communications.
  • Monitor enrollment progress and resolve issues to ensure a smooth experience for employees.
  • Serve as an escalation point for complex employee benefits inquiries.
Compensation Administration
  • Support the administration of spot bonuses, performance bonuses, and compensation adjustments.
  • Coordinate with Payroll, Finance, and HR teams to ensure timely and accurate compensation transactions.
  • Assist in evaluating job descriptions and classifications to ensure internal equity and market competitiveness.
  • Support the job description process by maintaining and updating job documentation.
  • Help prepare job family and career path frameworks
  • Stay informed of compensation-related compliance updates, including wage legislation and exemption rules.
  • Assist in developing and updating compensation policies and procedures.
  • Ensure all compensation practices align with company standards and legal requirements.
  • Respond to compensation-related inquiries from managers and employees.
  • Provide training and guidance to managers, HR Operations on compensation tools and processes.
  • Maintain documentation and user guides for compensation systems and procedures.
Compliance & Documentation
  • Maintain documentation for audits, regulatory filings, and internal controls.
  • Ensure compliance with privacy and data protection standards (e.g., HIPAA).
  • Support internal and external audits related to compensation, benefits and pension programs.
  • Prepare reports for management team on total rewards measurables, statistics and/or data.
  • Ensure compliance with all welfare benefits policies as well as maintaining all benefit and 401K/Pension reporting and compliance requirements.
  • Run weekly, monthly, and annual benefit reports
  • Oversee the auditing of enrollments and invoices. Provide feedback to management and broker partners on benefit functionality and invoice issues that arise.
  • Reconcile deduction reports and correct any errors
  • Process and submit claims and invoices for payment required weekly, monthly, quarterly, etc.
Support Rewards and Wellness Programs
  • Coordinate and administer various employee programs (such as Education Assistance, Professional Development, etc.)
  • Guide employees through the application and reimbursement process, providing clear communication and support.
  • Assist with educating employees and site HR team members on the impact of current and new wellness initiatives including companywide wellness challenges, initiatives, or new information.
  • Support the administration of the wellness platform by ensuring updated information, communication and/or notifications are provided to employees.
  • Manage and promote employee discount programs (e.g., retail, automotive, travel, wellness services) through third-party platforms or direct partnerships.
  • Maintain an up-to-date employee perks portal or intranet page with clear access to all available discounts and offers.
  • Monitor usage and satisfaction to continuously improve offerings.
  • Develop and distribute engaging communications (e.g., flyers, digital signage, newsletters) to promote awareness and participation in rewards programs.
Employee Communication & Change Management
  • Develop and implement communication strategies for benefits changes and project rollouts.
  • Provide training and resources to HR teams and employees.
  • Recommend continuous improvement initiatives related to benefits and pension administration.
  • Other duties as required.
Team Leadership
  • Provide leadership and direction to direct report; which includes the assignment of work for attendance, and performance management.
  • Implement corrective action to bring about positive change in direct reports to ensure optimum efficiency and quality.
  • Ensure that all subordinates within department are adequately trained and/or educated to perform their required duties
  • Maintain required Health and Safety standards
Education

Minimum Required:
  • Bachelor's Degree in Business Administration or equivalent field.
Preferred:
  • Concentration in Human Resources and/or Finance preferred
  • Certified Employee Benefits Specialist Designation or equivalent preferred (PMP, SHRM-CP, etc.)
Experience

Minimum Required:
  • 5 years' experience in Human Resources focusing on benefits administration.
Preferred:
  • 7 years' experience focusing specifically on total rewards, benefits administration for a multiple site operation.
Job Specific Skills

Minimum Required:
  • Ability to communicate effective written and verbally with various employees throughout the organization.
  • Knowledge of state and federal laws and regulations with regard to the processing of health and retirement benefits.
  • Experience in Microsoft Suite, Excel, Word, and PowerPoint.
  • In-depth understanding of federal, state, provincial and local laws governing leave such as ERISA, HIPAA, COBRA, and FMLA to ensure compliance.
  • The ability to present information clearly and in a manner that is understandable to managers and employees and to answer questions.
  • Fluent in English
  • Familiar with HRIS systems and employment law
  • Excellent communication, organizational, time management and problem-solving skills
  • Knowledge of benefit programs, including 401K compliance a plus.
  • Excellent problem-solving skills and critical thinking ability
  • Excellent analytical skills to research and evaluate benefits programs to make informed choices.
  • Must stay up-to-date on industry trends and changes to help keep the company competitive in recruitment of top management and employees.
  • Must have good decision-making ability.
  • Ability to build long term relationships and put effort in earning trust.
  • Ability to administer and enforce compliance with company policies and procedure.
  • Ability to perform well in high pressure situations.
Preferred:
  • Sound knowledge of all HR disciplines including recruitment, employee relations, talent management, compensation, Health and Safety policies and procedures including Workers Compensation
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
  • Able to work efficiently as a part of a team as well as independently
  • Advanced computer skills including MS Office.
