POSITION SUMMARY:
In this role, the Director of Administration plays a vital part in ensuring the smooth and efficient operation of the office. This position supports the mission of Vera House by managing administrative functions, supervising office staff, and maintaining a positive, cohesive work environment. The Director of Administration works closely with leadership, and other departments to facilitate communication and support organizational goals. By preparing reports, gathering data, and organizing key documents, the Director of Administration enables the CEO to focus on strategic decisions rather than administrative details.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Ensure the office runs smoothly by managing administrative tasks, supplies, and equipment.
- Address employee queries regarding office management issues such as stationery, hardware, and travel arrangements.
- Provide daily assistance to the CEO as needed, acting as a key point of contact between the CEO and other staff, ensuring that important information is relayed promptly and accurately, in turn helping the CEO stay connected with the organization and make informed decisions.
- Provide direction, support and supervision to administrative team members. Fostering a collaborative and supportive work environment.
- Coordinate with facility management vendors, including cleaning, security services, elevator services, and all facility needs to maintain a safe and welcoming office environment.
- Communicate with department leaders, relaying key information, and assist with the implementation of organizational initiatives.
- Help plan and organize in-house or off-site activities, such as staff meetings, celebrations, and conferences.
- Ensure accurate record-keeping of office expenses, supplies, and other administrative documentation.
- Assist with Finance tasks, including scanning, copying, mail, and helping with deposits as needed.
- Provide various administrative duties as assigned.
- Associate's degree or equivalent combination of education and experience.
- Four years of related work experience in office management, supporting executive leadership, or a similar administrative capacity.
- Experience in supervising staff with tasks and workflow management.
- Strong organizational and communication skills.
- Ability to multitask and prioritize effectively.
- Proficiency with Microsoft Office including Word, Excel, PowerPoint, and database management.
- Experience working in a human services or nonprofit environment is a plus.
- Commitment to the mission of Vera House and sensitivity to issues of sexual and relationship violence.
SALARY RANGE
$70k-$80k annual, exempt
