Job Description: Medical Staff Manager

Unit/Department: Administration

Reports to Position: Director of Quality

Grade Level: High School Diploma or equivalent; preferred post-secondary education in secretarial field or related business field preferred.

Skills: Strong interpersonal and presentation skills required. Ability to communicate effectively in English both verbally and in writing. Computer knowledge required to include extensive use of Excel, Word and Power Point. Excellent internet knowledge, and database management skills required. Ability to learn and use new software equipment.

Exempt/Non-Exempt: Exempt

General Summary: Assists with the administrative support services for the Medical Staff and Medical Staff Officers. Assists in maintaining all credentialing files and processes. Follows the Medical Staff Bylaws, Policies and Procedures, and Rules and Regulations. Performs all duties in compliance with DNV and other regulatory standards. Coordinates and participates in Medical Staff Credentialing Committees and other committees as deemed necessary. Participates in Performance Improvement Activities as assigned.
  • Performs timely processing of Medical Staff and Allied Health Staff professional applications in accordance with timeliness set forth in the Medical Staff Bylaws
  • Coordination of the credentialing, appointment and reappointment processes, obtains and compiles data for each applicant
  • Maintains confidential credential files on all members of the medical staff including, current licenses, current professional liability insurance and other certifications
  • Performs verification of items as required by Medical Staff Bylaws
  • Demonstrates knowledge of current Medical Staff standards as related to Medical Staff Bylaws, Policies and Procedures, Rules and Regulations, DNV and other regulatory agencies
  • Maintains credentialing software data base for all disciplines credentialed through Medical Staff Services
  • Send notices or makes contact with the Medical Staff concerning Medical Staff Meetings as needed
  • Coordinates functions with the Quality Director to facilitate the Medical Staff processes
  • Participates in Performance Improvement initiatives as assigned
  • Compiles and maintains a mailing list for the direct mailing of promotional materials
  • Maintains Medical Staff records to include continuing education courses taken
  • Knowledgeable of the continuing medical education requirements of the medical staff
  • Communicates clearly and appropriately to physicians, staff, director and administrative team
  • Coordinates with the Quality Director for informed decisions making
  • Coordinates, facilitates and maintains meeting minutes for the Medical Staff Credentialing Committee and other Committees as assigned
  • Maintains a good working relationship within the department and with other departments
  • Documentation meets current standards of practice
  • Demonstrates the ability to be flexible, organized and function under stressful situations
  • Performs other duties as assigned
Professional Requirements:
  • Adheres to dress code, appearance is professional, neat and clean
  • Completes all annual education requirements and in-services in a timely fashion
  • Maintains regulatory requirements
  • Maintains patient confidentiality at all times
  • Reports to work as scheduled, on time and completes work within designated time frames
  • Wears identification while on duty
  • Attends 80% of all required meetings
  • Communicates the mission, ethics and vision of the facility
