Summary:
The design operations specialist supports the operational health and day-to-day efficiency of the Company design organization. This role focuses on maintaining the systems, processes, and programs that keep the organization running smoothly - including procurement, tooling, and design operations. The ideal candidate is organized, proactive, and systems-minded.

Responsibilities:
  • Procurement management
  • Lead new vendors through the onboarding process, including engagement with procurement, legal, compliance, finance, business and technology teams to ensure NDAs, MSAs, and sows are completed on time to support requirements.
  • Manage procurement requests, ensure timely approvals, and track delivery timelines.
  • Document processes related to vendor management and onboarding. Identify and implement improvements to procurement processes that enhance efficiency.
  • Partner with internal and external leaders to address invoicing, payments, usage, contractual, and workflow related questions for vendor relationships
  • Manage the contracting for design tools, software licenses, and specialized services (e.g., agency vendors, prototyping tools, workshops)
  • Business operations support
  • Maintain operational documentation, dashboards, and communication channels.
  • Coordinate design all-team meetings, weekly team comms, and other organization-wide events.
  • Manage DesignOps Airtable and shared tools (google drive, Figma, and vendor access)
  • Onboard and support agency and third-party vendors for design sprints.
  • Manage the design onboarding program, including welcome communications, tracking, resources, and live sessions.
  • Enablement & tooling
  • Ensure design tools are ready for use and accessible to team members.
  • Manage tool access requests and license assignments.
  • Track and reconcile tool usage and seat counts to maintain accurate records.
  • Maintain internal documentation and onboarding resources for design tools.
  • Partner with it, procurement, and tool owners to address access or functionality issues.
  • Programming & community support
  • Coordinate logistics for community programs and internal workshops, including scheduling, invites, and follow-up communications.
  • Maintain Airtable (calendar of events, and recordings).
  • Support mentorship program activities, including communications, documentation, and program management..
  • Distribute event recordings, ai summaries, and resources in team channels.
  • Partner with program leads to manage logistics and comms for community-led sessions.
  • Respond to ad hoc operations needs such as updating documentation, coordinating announcements, or ordering materials.

Qualifications:
  • 5-7 years of experience in design operations, program management, or similar coordination or enablement roles.
  • Strong organizational, communication, and project management skills with excellent attention to detail.
  • Ability to operate autonomously, manage multiple priorities, and deliver reliably.
  • Skilled at documenting processes clearly and identifying opportunities to streamline operations.
  • Comfortable managing logistics and supporting hybrid, distributed teams.
  • Familiarity with vendor management, contract workflows, or procurement processes.
  • Proficient in google workspace, microsoft outlook, figma, airtable, prismic cms and slack.
  • Comfortable using ai-powered tools to enhance workflows and processes

Pay Transparency: The typical base pay for this role across the U.S. is: $ 67.85 - $67.85/hour. Non-exempt positions are eligible for overtime at a rate of 1.5 times the base hourly rate for all hours worked in excess of 40 in a work week, or as required by state or local law. Final offer amounts, within the base pay set forth above, are determined by factors including your relevant skills, education and experience. Full-time employees are eligible to select from different benefits packages. Packages may include medical, dental, and vision benefits, health savings accounts with qualified medical plan enrollment, 10 paid days off, 3 days paid bereavement leave, 401(k) plan participation with employer match, life and disability insurance, commuter benefits, dependent care flexible spending account, accident insurance, critical illness insurance, hospital indemnity insurance, accommodations and reimbursement for work travel, and discretionary performance or recognition bonus.
