Essential Job Summary: The Tax Compliance Manager plays a key role in managing all aspects of sales and use tax compliance, reporting, and audits within our organization. This position is critical in ensuring adherence to state and local tax regulations while optimizing strategies to reduce tax liabilities and risks. The ideal candidate will have extensive experience in multi-state tax compliance, particularly in the waste management and environmental services sectors.
Essential Job Functions:
- Manage the preparation, review, and timely submission of sales and use tax returns across various jurisdictions.
- Ensure the correct tax treatment for waste disposal, recycling, and hauling services, taking into account relevant exemptions and specialized tax regulations.
- Continuously update tax rates, exemption certificates, and compliance systems.
- Track changes in tax legislation that affect waste services, including surcharges and environmental fees.
- Oversee the collection of W-9 forms from vendors, ensuring proper classification for 1099 reporting.
- Prepare and file 1099 forms in adherence to IRS deadlines.
- Reconcile vendor payments to identify reportable transactions.
- Assist vendors with inquiries related to 1099 reporting and address any discrepancies.
Tax Research & Analysis:
- Keep informed of changes in sales and use tax laws as they pertain to waste services and landfill operations.
- Conduct research on tax issues and provide guidance to stakeholders on the taxability of various services.
- Analyze implications of business transactions and recommend strategies for tax savings.
- Lead sales and use tax audits by coordinating responses and resolving disputes effectively.
- Identify risks and develop strategies to mitigate potential liabilities.
- Maintain necessary documentation to support audit defense strategies.
Process Improvement & Technology:
- Identify and implement strategies to enhance tax compliance processes and automation.
- Collaborate with IT and finance teams to optimize tax reporting systems.
- Ensure integration of tax compliance tools with billing and accounting systems.
- Work with various departments to ensure appropriate tax treatment of transactions.
- Provide training and guidance to internal teams on tax compliance best practices.
Requirements and Qualifications:
- Bachelor's degree in Accounting, Finance, Business, or related field; CPA or CMI certification is preferred.
- 5+ years of experience in sales and use tax compliance, with preference given to backgrounds in waste management or environmental services.
- Strong understanding of multi-state sales and use tax laws, particularly regarding waste services.
- Familiarity with IRS 1099 reporting requirements.
- Experience with tax compliance software and ERP systems.
- Advanced Excel skills with the ability to interpret large datasets.
- Strong analytical and problem-solving skills.
- Excellent communication and leadership capabilities.
- Meticulous attention to detail and proven ability to manage multiple deadlines.
