Client Account Specialist

A prominent law firm seeks a Client Account Specialist to support its Seattle-based Finance and Accounting Department. This hybrid role is responsible for the end-to-end management of client billing, collections, account maintenance, and inventory reporting. The ideal candidate will have prior law firm billing experience, excellent communication skills, and the ability to work both independently and collaboratively with attorneys and clients.
Key Responsibilities:
- Build and maintain strong, professional relationships with attorneys, staff, and clients to ensure seamless billing and collections processes.
- Manage complex billing arrangements, including client-level invoicing and eBilling.
- Mentor and train billing team members, sharing knowledge and best practices.
- Review and implement outside counsel guidelines; verify rates, monitor fee caps, discounts, and budgets.
- Oversee prebill to final bill process, ensuring timely and accurate billing aligned with client and attorney requirements.
- Partner with eBilling Coordinators to manage client set-ups, ensure successful electronic submissions, and resolve issues proactively.
- Communicate with clients regarding billing inquiries, collections, and payment arrangements.
- Generate accruals, audit support, and ad hoc reports; analyze billing trends and recommend solutions.
- Provide monthly billing and collections forecasts; maintain status reports and monitor key metrics.
- Assist with unapplied cash resolution and accurate payment application in coordination with Accounts Receivable.
- Maintain portfolio knowledge and establish cross-training procedures for seamless coverage.
- Bachelor's degree in a relevant discipline preferred, or equivalent experience.
- Proven experience in law firm billing and complex account management.
- Strong technical skills, including proficiency in Excel and financial management systems.
- Excellent organizational, communication, and interpersonal skills.
- High attention to detail and ability to prioritize multiple tasks in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Professionalism, confidentiality, and a proactive approach to client service.
- Flexibility to work extended hours when necessary.
- Salary: $76,440 - $95,000 base (dependent on experience, education, and location)
- Status: Nonexempt (eligible for overtime)
- Bonuses: Discretionary annual bonus potential
