Essential Job Summary:

The Tax Compliance Manager will oversee and manage all facets of sales and use tax compliance, reporting, and audits for our waste services operations. This key role will ensure our adherence to all state and local tax regulations while optimizing strategies to reduce liabilities and risks. Moreover, the position will supervise the preparation and filing of 1099 forms to guarantee compliance with IRS regulations. We seek a dynamic candidate with extensive experience in tax compliance in a multi-state setting, ideally within the waste management, recycling, or environmental services industries.

Essential Job Functions:

• Lead the preparation, review, and timely submission of sales and use tax returns across various jurisdictions.
• Ensure correct tax treatment of our waste disposal, recycling, and hauling services while considering exemptions and special tax rules.
• Maintain current tax rates, exemption certificates, and compliance systems.
• Stay informed about changes in tax laws that affect waste services, including surcharges and environmental fees.
• Oversee the collection and verification of W-9 forms from vendors, including independent contractors and subcontractors.
• Ensure accurate classification of vendors for 1099 reporting, focusing on transportation, landfill, and equipment rental providers.
• Prepare, review, and file 1099 forms with federal and state agencies in compliance with IRS deadlines.
• Reconcile vendor payments to identify reportable transactions.
• Address vendor inquiries regarding 1099 reporting and resolve discrepancies.

Tax Research & Analysis:

• Keep up-to-date with changes in sales and use tax laws relevant to the waste services sector, including landfill operations and environmental fees.
• Conduct research on tax-related issues and offer guidance to internal stakeholders about the taxability of waste collection, disposal, and recycling services.
• Analyze the tax implications of business transactions and propose tax-saving strategies.
• Lead and administer sales and use tax audits, handling auditor inquiries and resolving disputes.
• Identify potential risks and devise strategies to mitigate liabilities.
• Preserve adequate documentation and records for audit defense.

Process Improvement & Technology:

• Locate opportunities to enhance tax compliance processes and implement automation where applicable.
• Coordinate with IT and finance teams to optimize tax reporting software and ERP systems.
• Ensure seamless integration of tax compliance tools with our billing and accounting systems.
• Collaborate with accounting, finance, procurement, and operations teams to confirm proper tax treatment of transactions.
• Liaise closely with fleet management, landfill operations, and third-party vendors to uphold tax compliance in contractual agreements.
• Provide training and support to internal teams on sales tax compliance, 1099 reporting, and best practices.

Requirements and Qualifications:

• Bachelor's degree in Accounting, Finance, Business, or a related field. CPA or CMI certification is a plus.
• 5+ years of experience in sales and use tax compliance, with a preference for candidates from the waste management, recycling, or environmental services sectors. 1099 reporting experience is a must.
• In-depth knowledge of multi-state sales and use tax laws as they pertain to waste services.
• Understanding of IRS 1099 reporting requirements and deadlines.
• Proficiency in tax compliance software (e.g., Vertex, Avalara, OneSource).
• Experience with ERP systems such as MS D365 or billing systems specific to waste management.
• Advanced Excel skills with the ability to analyze large data sets.
• Strong analytical and problem-solving abilities.
• Excellent communication and leadership skills.
• Attention to detail and the ability to manage multiple deadlines.

Salary Range Minimum: USD $100,000.00/Yr. Salary Range Maximum: USD $130,000.00/Yr.
