Job Summary

Assistant Project Manager is responsible for performing assigned administrative duties of the project, maintaining project organization and flow, and ensuring on-time, high-quality, cost-effective completion that enhances our clients and A.R. Mays reputation.

Applicant Minimum Requirements
  • Construction Management Degree or similar preferred.
  • Minimum of 1 year working as an Assistant Project Manager or equivalent industry experience.
  • Valid Driver's License.
  • Computer skills including working knowledge of Microsoft Office.

Duties / Responsibilities
  • Maintain positive working relationships with owner and design team representatives.
  • Assist project manager in analyzing scope sheets, negotiating awards, and writing subcontracts/purchase orders.
  • Generate and track change orders to owners and subcontractors; review changes for validity, accuracy, and detail.
  • Assist in analyzing job cost reports with the project manager on a monthly basis.
  • Update draft of monthly owner payment application; review subcontractor applications for payment with the project accountant as needed.
  • Review and approve percentage complete for project payables with the project superintendent on a monthly basis; review and code general invoice expenses; submit to project manager for approval.
  • Attend and participate in monthly assistant project manager meetings and project meetings (weekly owner and subcontractor job site, turnover, pre-punch, punch, closeout). Take and distribute meeting minutes.
  • Maintain updated set of contract drawings; distribute and track all contract document changes.
  • Review subcontractor RFIs for validity, constructability, and cost impacts; create and track initial RFIs and distribute to architect; review RFI responses for cost and schedule impacts.
  • Review submittals for conformity to specification and drawings; track all submittals and return to subcontractors after architect review.
  • Apply cost codes to all task items and submit to accounting upon receipt of final estimate.
  • Participate in drafting master schedule; obtain updated schedule from superintendent and distribute to project manager, subcontractors, and owner.
  • Maintain Project Control System (PCS) to ensure all construction administration documents are filed timely.
  • Compare soil and material test results with specifications; notify relevant parties of inconsistencies; coordinate resolution.
  • Obtain applications and permits from city and county development offices.
  • Review certificate of occupancy checklist with superintendent to ensure all items are completed.
  • Distribute punch lists to affected subcontractors; coordinate completion and monitoring of punch list items.
