Job Description---The School of Aviation is seeking a Senior Admin/Finance Coordinator. This position will provide management, administration, and/or analysis and evaluation of financial activities within a college or complex university department.Essential Duties:Oversees and provides professional administrative support, financial management and budget planning for the department.Processes new hire and termination paperwork. Maintains personnel files and update the incoming and outgoing employee information.Oversees records maintenance (inventory, personnel, office files, etc.Submits all paper PAF, EPAF, EDR, travel, and PETs. Update time supervisor approver in PeopleSoft, assign required trainings, and run reports as needed.Manages approval process for payroll, leave accounting/reporting, and other financial mattersAssists with developing, implementing, and interpreting policies and procedures, ensuring compliance with federal, state and university policies and regulations.Assists with coordination and planning of program hosted events and programs/logistics, negotiates with contractors and vendors.Selects, supervises, trains, and evaluates performance of assigned staff.Coordinates and executes department events.Maintains budget and grant administration, account reconciliation, Pcard management, OU Foundation funds, and other departmental support.Performs account reconciliation to balance financial statement transactions to source documents and forecast cash flow and account balancePrepares and reconciles Grant / Foundation reports and check over cash balance in accounts.Provides Faculty support with purchases, travel and faculty liaison, policies and procedures, faculty awards, funding requests, reimbursement requests.Performs various duties as needed to successfully fulfill the function of the position.Job Requirements---Required Education: Bachelor's degree in Accounting, Finance, Business, Management, or related field, AND:24 months of office management, financial management, or related experienceEquivalency/Substitution: Will accept 48 months experience in lieu of Bachelor's degree for a total of 72 months related experienceSkills:Basic math skillsAdvanced computer skills with wide knowledge of business softwareProficient in Microsoft OfficeDetail oriented for accuracy of data and informationHighly organized and able to handle multiple projects and deadlinesCertifications: NoneAdvertised Physical Requirements:Sit for prolonged periodsCommunicated effectively and listenAbility to engage in repetitive motionStandard office environmentDepartment Preferences:Preferred Skills:Ability to demonstrate strong Excel skills including financial modeling, data analysis, pivot tables and macrosWorking knowledge of accounting processesExcellent interpersonal skillsAbility to work as a team memberAbility to complete tasks in an efficient and timely mannerAbility to multitask and self-motivatedAbility to communicate verbally and in writingAbility to produce reports and complete work within deadlinesStrang initiative to solve problems in a timely mannerPreferred Experience:Minimum of two (2) years relevant experience in accounting and finance systems and processes including: financial statement preparation, budgets, and financial and cost analysisSpecial Instructions: If you are selected as a final candidate for this position, you will be subject to The University of Oklahoma Norman Campus Tuberculosis Testing policy. To view the policy, visit https://hr.ou.edu/Policies-Handbooks/TB-Testing.Why You Belong at the University of Oklahoma: The University of Oklahoma values our community's unique talents, perspectives, and experiences.
