Description: Position Summary: The Pre-K Operations Support Coordinator will lead cross functional, multi-disciplinary coordination of the operations relating to Preschool (Pre-K) special education services, including itinerant Pre-K Speech, Occupational, and Physical therapy teams. Under the direction of the Strategic Advisor of Related Services and in close collaboration with the Office of Related Services (ORS) operations team, the Pre-K Operations Support Coordinator plays a vital role in ensuring equitable access and success for students with disabilities and promotes an inclusive educational environment by addressing logistical and operational needs specific to this population. The Pre-K Operations Support Coordinator will perform difficult and responsible analytic work in the administration of the Division and will be responsible for assisting in operations, timekeeping, data tracking, and reporting. Performs related work. Reports to: Strategic Advisor, ORS Direct Reports: N/A Key Relationships: ORS Director of Finance and Strategy, ORS Operations team, ORS clinical teams, including Speech, Occupational Therapy (OT), Physical Therapy (PT) and Central Assistive Technology (CAT), Special Education Office (SEO), Committees on Special Education (CSE), and Committees on Preschool Special Education (CPSE) Operations teams, Division of Early Childhood (DECE), and District 75 (D75). Maintains positive professional relationships within the Office of Related Services, the Committees on Special Education, and the Division of Human Resources (DHR). Responsibilities Coordinates community events in collaboration with ORS and Division of School Leadership (DSL) teams to support schools, students, families, and educational partners. Coordinates meeting space, logistics, and courier service, as needed for ORS Leadership, including meetings with community-based stakeholders. Supports the Strategic Advisor of ORS in all Pre-K related initiatives, from recruiting, hiring, onboarding and supporting Pre-K related service providers and Pre-K itinerant teams. Analyzes data using NYCPS data systems (SESIS, ATLAS, CAP, Power BI and others) to ensure the provision of mandated related services for Pre-K students. Supports Pre-K escalations (from 311, internal, and external stakeholders, including advocates, etc.) Liaises with CSE staff, CPSE staff, and DECE towards: Data management/identification of preschool students whose IEPs recommend PT, OT and Speech and Language services Tracking and subsequent provider follow up Identification and reconciliation of Encounter Attendance (EA) and/or preschool IEP needs Monitors list of students awaiting services and in collaboration with CSEs, facilitates coverage Collaborates with CSE, DECE and other Divisions towards ensuring accurate recording of Encounter Attendance and First Attend Dates. Works closely with the Director of Finance and Strategy, ORS to maintain the administration and operations of the Office of Related Services to ensure that resources align with strategic objectives and program goals on behalf of Pre-K students with disabilities. Supports the implementation of key ORS student initiatives such as SEED and Saturday Academy through coordinating with SEO offices and across New York City Public Schools (NYCPS). Identifies opportunities to improve efficiencies within ORS and supports their implementation. Tracks and monitors all operational activities and ensures that program reports are provided to project teams on an ongoing basis. Provides office support, including equipment and purchasing and inventory. Tracks and updates time, vacation, sick, and compensatory records; computes, submits and approves personnel separation forms. Utilizes NYCPS systems to update personnel information; prepares monthly reports as needed. Assists ORS Program Offices with the creation, submission, and posting of per-session vacancy circulars. Screens mail and prepares materials to be distributed. Qualification Requirements: Minimum A baccalaureate degree from an accredited college and two (2) years of experience in community work or community centered activities in an area related to the duties described above; or High school graduation or equivalent and six (6) years of experience in community work or community centered activities in an area related to the duties as described above; or Education and/or experience which is equivalent to “1” or “2” above. However, all candidates must have at least one (1) year of experience as described in “1” above. Plus Exceptional systems and strategic thinking skills. Sound judgment and strong problem-solving skills. Ability to conceptualize, implement, and assess new processes and systems. Preferred Experience with and knowledge of NYCPS operations, timekeeping, personnel, and procurement. Excellent interpersonal skills. Strong spoken and written communication skills and the ability to be responsive to feedback. Attentive to detail, extremely well-organized, able to work under pressure, and meet frequent and changing deadlines. Knowledge of NYCPS systems, including the Financial Accounting Management Information System (FAMIS) and the Travel Reimbursement and Approval Certification (TRAC) system. Ability to learn quickly and thrive in a fast-paced work environment. Ability to work independently and as part of a team. Salary: $62,707 - $72,114 (Internal candidates who are selected for this position and who currently hold comparable or less senior positions within the DOE will not earn less than their current salary.)
