We are currently looking for an Office Manager to join our team in Portage, MI The Office Manager will be responsible for planning, directing, and coordinating various administrative services for an assigned home office and divisional team. This includes information management and providing support for other office services. The Office Manager will also be expected to perform routine clerical and administrative tasks such as drafting correspondence, scheduling appointments, organizing, and maintaining files, and delivering accurate information to internal or external customers. What are the responsibilities of an Office Manager? Assist Divisional Leadership team with scheduling and administrative functions. Create or modify home office spreadsheets, reports, and letters for property management leaders. Administratively support legal and risk matters to include incident reports, preparing information for legal or risk inquiries, filing claims, and responding to queries (if applicable, based on location). Oversee corporate events including planning, hosting, ordering, inviting, following up, and coordinating with vendors. Organize agenda and maintain notes for property management meetings. Update rent memos and other rental related promotions. Negotiate pricing for hotels, office supplies, office equipment service contracts, etc. Create and modify memos, policies, and manual changes. Manage orders for various office supplies and equipment. Process invoices for office supplies and equipment, hotels, car rentals, and credit card expenses. Create resident letters and community forms. Ensure top performance of office staff by providing them adequate coaching and guidance. Delegate assignments and monitor visitor communications with team. Oversee lobby operations and customer service for visitors. Oversee facilities and property management planning (if applicable, based on location). Address resident inquiries (if applicable, based on location). Maintain and organize operation’s SharePoint document files including community forms, reports, and contracts (if applicable, based on location). Create, modify, and order business cards and name plates (if applicable, based on location). Obtain quotes and bids on community supplies (if applicable, based on location). Process Point-of-Sale (POS) in Yardi (if applicable, based on location). Create accounts with vendors of the communities (if applicable, based on location). Leader Responsibilities: Act as a positive advocate of the organization’s strategic direction and initiatives, holding the team accountable to displaying the organization’s mission, vision, and values. Lead and take ownership of team goals and performance by providing direction and oversight to team members, planning, and evaluating the team’s activities and deliverables. Identify personal growth opportunities for team members, with team members. Lead engagement of the team, including participation in action planning related to regular team member engagement surveys. Accomplish results by communicating expectations, planning, monitoring, and appraising performance of team members. Actively participate in the talent attraction and retention process, including interviewing, selecting, orienting, and training team members as the need arises. Provide continuous coaching to team members, counseling as needed. Develop, coordinate, and implement systems, policies, procedures, and productivity standards throughout the team. What are the role requirements? Associate or bachelor’s degree in business administration or related field is preferred. Extensive experience in an office role is preferred. Previous supervisory experience is preferred. Experience using Yardi Voyager or related property management software is preferred (if applicable, based on location). Must be proficient with Microsoft Office programs. Ability to be organized, detail-oriented, and to work effectively in a fast-paced environment. Ability to work cooperatively and respectfully with others. Must possess exceptional organizational and time-management skills, including the ability to balance and prioritize simultaneous projects and tasks. Strong written and verbal communication skills are required. Must present the ability to execute job duties under stressful circumstances such as last-minute deadlines or other difficult situations. Must be willing to travel to various locations via private or public air transportation and locations within driving distance via car. Regular attendance, work ethic and strong interpersonal skills are required for success in this position. Must have a valid driver’s license and reliable transportation. What's in it for you?
