Executive Assistant to the Office of Campus Safety and Security

Description: The Executive Assistant to the Office of Campus Safety and Security provides high-level administrative, operational, and project support to the Director of Safety and Security. This position plays a critical role in ensuring efficient office operations, coordinating communication across campus, supporting campus safety and emergency preparedness initiatives, and maintaining accurate, confidential, and compliant records. Serving as a professional representative of the Office of Campus Safety and Security, the Executive Assistant regularly interacts with students, faculty, staff, and external agencies while exercising sound judgment, discretion, and a strong commitment to service. This position is designated as essential personnel and may be required to report to or remain at work during institutional emergencies to support the continuity of university operations. Minimum Qualifications: •Strong written and verbal communication skills • High level of professionalism, integrity, and discretion • Excellent organizational, time-management, and prioritization skills with the ability to work independently • Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint) • Ability to handle sensitive and confidential information appropriately • Ability to perform medium work as defined by the Bureau of Labor Statistics • Commitment to adhere to all King University policies and procedures • Ability to articulate a personal Christian faith and support the mission of King University Preferred Qualifications: • Associate’s or Bachelor’s degree in Business Administration, Public Administration, Higher Education, or a related field • Prior experience supporting senior leadership, preferably within campus safety, law enforcement, emergency management, or higher education environments • Experience with compliance reporting, data tracking, and institutional recordkeeping systems Responsibilities: Administrative and Operational Support • Manage daily operations of the Office of Campus Safety and Security, including scheduling, correspondence, document management, and recordkeeping • Provide high-level administrative support to the Director of Safety and Security • Maintain departmental calendars; coordinate complex meetings; arrange travel; and prepare agendas, materials, and follow-up documentation • Serve as the primary point of contact for the office, triaging inquiries and ensuring timely responses • Draft, edit, and distribute departmental communications, reports, presentations, and policy documents Data, Reporting, and Compliance • Assist in the preparation and maintenance of federally and institutionally required safety and compliance reports, including Clery Act documentation, Tennessee Incident-Based Reporting System (TIBRS) reports, and annual safety reports • Support data collection, tracking, and reporting related to training, assessments, incident documentation, and compliance efforts • Maintain confidential personnel, training, investigative, and compliance files in accordance with King University policy and applicable state and federal laws Budget and Purchasing • Monitor departmental budgets, track expenditures, and assist with financial planning • Prepare purchase orders, reconcile accounts, and coordinate procurement of supplies, equipment, and contracted services Project and Program Coordination • Assist with planning and execution of emergency management programs, training sessions, drills, and safety awareness initiatives • Coordinate special projects, strategic initiatives, and interdepartmental efforts as assigned by the Director of Safety and Security • Assist with conducting and processing background checks for students, faculty, staff, volunteers, and interns in accordance with university policy • Support logistics for safety-related workshops, committee meetings, advisory boards, and campus outreach events Communication and Relationship Management • Serve as a liaison between the Office of Campus Safety and Security and campus stakeholders, including students, faculty, staff, external agencies, and community partners • Handle sensitive information with discretion and maintain strict confidentiality • Promote a professional, customer-focused, and service-oriented environment for all individuals seeking assistance General and Institutional Responsibilities • Serve as a mandatory reporter in accordance with the Mandatory Reporters Policy • Maintain confidentiality, integrity, and security of institutional, employee, and student information • Comply with all applicable local, state, and federal laws and regulations, including Title VI, Title VII, Title IX, the Clery Act, OSHA, and accreditation requirements • Follow all policies outlined in the Employee Handbook and departmental procedures • Participate in professional development activities and relevant professional organizations as directed • Perform other duties as assigned Language: Proficiency in written and spoken English required Hours: Full-time, non-exempt position Standard business hours with flexibility required during emergencies, drills, or special campus events Campus: Bristol, TN
