Introduction Delaware's Attorney General, the State's chief law enforcement officer, has a broad responsibility to combat crime, uphold civil rights, safeguard families, fight fraud, and protect consumers in the First State. In meeting this mission, Attorney General Kathy Jennings is supported by teams of talented lawyers and staff in the Criminal, Civil, Family, Fraud and Consumer Protection, and Civil Rights and Public Trust Divisions. Each of the more than 500 staff who work in the Office of the Attorney General are dedicated to serving all Delawareans with integrity and passion. Deputy Attorneys General, with critical support from criminal special investigators, victim service specialists, paraprofessionals, and administrative staff, prosecute criminal cases, enforce consumer laws, provide counsel to state agencies, ensure the public's access to open government, protect the abused, and much more. Summary Statement Legal Administrative Specialists at the Delaware Department of Justice play a critical role in supporting the work of the Criminal Division in New Castle County. The Criminal Division is responsible for prosecuting criminal offenses throughout the State and is comprised of several specialized units, including the Misdemeanor Trial and Community Engagement Unit, Felony Screening and Case Processing Unit, Domestic Violence Unit, Felony Trial/Wilmington Unit, Special Victims Unit, Homicide Unit, and the Violent Criminal Enterprise Unit. Legal Administrative Specialists provide essential administrative and legal support to Deputy Attorneys General and staff within these units. Their responsibilities vary by assignment but generally include preparing and maintaining legal case files and documentation; conducting criminal record checks; requesting police and investigative reports; typing and proofreading legal correspondence and documents; assisting with discovery preparation; scheduling and maintaining calendars; preparing subpoena lists; filing documents; and ensuring accurate, organized case records. These roles require strong organizational and communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. Legal Administrative Specialists also interact professionally with law enforcement, victims, witnesses, and the public and may provide back-up coverage for the main Criminal Division Receptionist during absences. Unit assignment will be determined based on operational needs. The posting may close prior to the listed closing date if a successful candidate is identified. Applies agency laws, rules, regulations, policies, and procedures in maintaining and processing agency information. Serves as a liaison with the public, clients, agency staff and others to exchange information and explain agency services, laws, rules, regulations, policies, and procedures. Assures effective coordination of operational functions for assigned unit/attorneys. Arranges for the delivery of legal paperwork. Types correspondence and legal paperwork. Schedules, coordinates, and confirms court dates, appointments, interviews, intakes, and meetings. Establishes tracking and monitoring systems and conducts follow up to ensure timely resolution of matters. Maintains and controls data and/or filing systems to ensure effective, accurate and easily retrievable legal documentation. Job Requirement Series JOB REQUIREMENTS for Legal Administrative Specialist I Applicants must have education, training and/or experience demonstrating competence in each of the following areas: 1.Possession of an associate’s degree or higher. 2.Knowledge of legal terminology. OR 1.One year of experience in coordinating office activities such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems. 2.One year of experience in document processing which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures, resolve deficiencies, interpret information, and track and monitor activities. 3.One year of experience in using standard computer software programs for word processing, spreadsheets or databases. 4.Six months experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data. 5.Knowledge of legal terminology. OR 1.Three years of experience in coordinating office activities such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems. 2.Three years of experience in document processing which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures, resolve deficiencies, interpret information, and track and monitor activities. 3.Three years of experience in using standard computer software programs for word processing, spreadsheets or databases. 4.Three years of experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data. 5.Six months’ experience in legal terminology. 6.Six months’ experience in interpreting laws, rules, regulations, standards, policies, and procedures. JOB REQUIREMENTS for Legal Administrative Specialist III Applicants must have education, training and/or experience demonstrating competence in each of the following areas: 1.Possession of a bachelor’s degree or higher. 2.Two years of experience: •Coordinating office activities such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems. •In document processing, which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures, resolve deficiencies, interpret information, and track and monitor activities. •Using standard computer software programs for word processing, spreadsheets or databases. •Using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data. •Preparing legal documents. •Interpreting laws, rules, regulations, standards, policies, and procedures. OR 1.Five years of employment with the Department of Justice in a similar capacity. OR 1.Six years of experience in coordinating office activities such as planning/coordinating meetings or conferences; tracking workflow and follow up; composing meeting notes; directing clients/customers; explaining services to the public and customers/clients; establishing or maintaining filing/record systems. 2.Six years of experience in document processing which includes reviewing and evaluating records for completeness and conformity with laws, rules, regulations, standards, policies and procedures, resolve deficiencies, interpret information, and track and monitor activities. 3.Six years of experience in using standard computer software programs for word processing, spreadsheets or databases. 4.Six years of experience in using an automated information system to enter, update, modify, delete, retrieve/inquire and report on data. 5.Four years of experience preparing legal documents. 6.Four years of experience interpreting laws, rules, regulations, standards, policies, and procedures.
