We are looking for a Senior Facilities Manager for our Integrated Facilities Management business line. Role Purpose The Senior Facilities Manager (SFM) is responsible for ensuring a high level of client satisfaction within their areas of responsibility and support the local team. Delivering key initiatives as well as ensuring consistency in processes and operational in Facilities Management delivery. Driving a superior service resulting in client satisfaction across their buildingsWhat this job involves Client/Stakeholder ManagementDeliver excellent customer service to meet client expectationsBuild and develop effective relationships with key stakeholders &/or client and be comfortable working across all levelsMonitor procedures to ensure client’s expectations are conveyed and worked uponAct as the lead point of contact for site deliveryAttend regular meetings with Clients/StakeholdersPeople ManagementManage contractor performance, including allocating resource, delegating workload, and ensuring adherence to best practice.Actively encourage an environment that supports teamwork, co-operation, and performance excellence within teamAssist in mentoring and enabling Training & Development of team membersChair weekly operations meetings: ensuring minutes are taken and distributedUtilise Workday in relation to Performance Management and Development PlansHSE, Security & Quality ManagementEnsure that all defined services are completed in accordance with all operating procedures, statuary requirements, and within the Health and safety guidelines.Ensure compliance with statutory regulations on fire, health, and safety standardsUnderstand & actively support JLL’s Quality Management programBuild an effective relationship with Client Functional Teams (GRE, GSI, HSE)Ensure audit compliance across CMO/PlaybookProcurement & Vendor ManagementEnsure that contracted resources deliver work to meet quality targets, addressing and ensuring the correction of under-performance issues.In conjunction with the sourcing team, manage contracts to assure high quality and cost-effective servicesChair monthly meetings with Key Service PartnersRegularly review contractual agreements and identify potential cost savingsEnsure full compliance with on-site permit systemFinancial ManagementManage processing and controlling of purchase orders, invoices, and work orders.Assist and monitor financial processes to ensure account payable procedures are followed at all timesSupporting the preparation of forecasts & financial reportingAttend monthly budget meetings (where required)Ensure regular review of GRNV and ForecastingSite Operations ManagementEnsuring Site Inspections are carried out. Issues highlighted through site inspectionsSupport the completion of all account required reports and documentation to meet specified deadlines.Seek ways to reduce costs and improve operational standardsAct as point of contact for security/alarm respondingDeputise for the Facilities Manager when appropriate.Risk ManagementAdhere to JLL’s business conduct by ensuring compliance with the firm’s guidelines, procedures, and strategiesAssist in the collation and preparation of FM Audit and reporting documentationAssist in the implementation and management of property risk management programSupport the implementation and monitoring of disaster recovering and business continuity plansFollow established escalation procedures and incident reporting proceduresAchieve Key Performance Indicators and Service Level Agreement targetsSound like you? To apply you need to be able to demonstrate the following skills and experience:Key SkillsTechnical / operational knowledge of critical infrastructure i.e. UPS’s , HVAC, Fire Life Safety systems etc.Excellent organisational and communication skill (both written and oral)Excellent people skills and ability to interact with a wide range of stake holders both internal and externalExcellent time management and ability to meet multiple deadlinesTeam player, hard Worker, good interpersonal skills, ability to communicate well in both oral and written reportsProficient in English language both verbal and written.Customer focusAbility to manage both hard and soft services delivery teams and vendorsH&S focusExperienceA strong understanding of technical operations and service deliveryPrevious experience in working with moves and changes, office fitout and relocations is desirable.Previous experience in managing multi-disciplinary teams responsible for hard and soft service delivery.Previous experience in use of CAFM / Helpdesk systemMinimum 3 – 5 years’ experience in a facility management role ideally within financial sectorAbility to work autonomously and as part of a multi-functional teamAbility to work within a fast-paced environmentHighly disciplined and strong attention to detailWhat you can expect from us You’ll join an entrepreneurial, inclusive culture.
