Reports to senior level manager.Essential Duties SummarySummary Provides diverse and complex administrative support to senior level manager by implementing day-to-day administrative procedures and processes consistent with established University policies and systems. Serves as a liaison with other departments and external contacts in providing information and determining appropriate course of action for routine and moderately complex matters within the department or division. Screens telephone calls and visitors. Manages calendar and independently schedules appointments for the senior manager. Composes, reviews and distributes confidential and complex correspondence, reports, forms, and documents that are sent to internal and external contacts. Responds independently within scope of responsibility. Participates in program/project planning, development and achievement of established goals and objectives. May supervise and provide guidance to clerical support staff or student workers. Organizes the flow of clerical processes in the office. Tracks, monitors and reconciles fiscal management resources, costs and other activities, including budget data and expenditures. Compiles statistics and gathers and computes various data. Verifies accuracy of information on standard University forms. Prepares graphs and charts for management use or presentations about departmental or divisional activities. Coordinates and arranges meetings, conferences and committee meetings. Makes complex travel arrangements. Selects and recommends purchases of appropriate office supplies and equipment. Establishes and maintains departmental files, records and reports. Follows procedures for systematic retention, protection, retrieval, transfer, and disposal of files and records. Performs other job-related duties as assigned. Knowledge, Skills, and Abilities Knowledge of: Policies, procedures, and practices. Microsoft Office Professional or similar application. Skill in: Detail oriented. Effective customer service. Multitasking and time management. Writing documents. Both verbal and written communication. Ability to: Monitor standard filing systems.Work Experience One to three years of related experience.
