Join us in making a positive impact on the lives of our patients and contributing to the advancement of Vein and Pain Medicine.About the roleElevating Pain and Vein Management: Join National VIP in delivering compassionate care and shaping the future of Pain and Vein MedicineThe Accounts Payable & Payroll Coordinator is responsible for supporting day-to-day financial operations across multiple medical entities, with a primary focus on accounts payable processing and serving as the main payroll processor. Although payroll will be a key responsibility, it will represent approximately 25% of the role, with the majority of time spent on invoice management, payments, vendor reconciliation, and general financial support. This position requires exceptional accuracy, strong organizational skills, and the ability to manage sensitive information with professionalism.Key ResponsibilitiesAccounts Payable Perform full-cycle accounts payable processing for multiple entities, including invoice intake, coding, routing for approval, and payment execution through the organization’s ERP system (NetSuite, Sage Intacct, or similar).Accurately code invoices to the correct entity, department, GL account, and cost center, following established chart of accounts and budget structures.Manage electronic approval workflows, ensuring correct routing and segregation of duties in accordance with internal controls.Reconcile vendor statements, research discrepancies, and respond to vendor inquiries in a timely and professional manner.Assist with month-end close by preparing AP-related schedules and reconciliations.Provide required documentation for internal and external audits.Support Divvy/credit card management, including card requests, expense reconciliation, and collecting required receipts.Maintain strict confidentiality of sensitive financial and patient-related information in compliance with HIPAA and company policy.Payroll ProcessingServe as the primary payroll processor for the organization, managing bi-weekly payroll across multiple states and entities.Review timecards, PTO requests, schedules, and supervisor approvals for accuracy and compliance prior to each payroll run.Ensure correct setup and maintenance of employee records in HRIS/payroll systems (e.g., Rippling), including tax jurisdictions, direct deposit, rate changes, and employment status updates.Coordinate with HR to ensure new hires, terminations, promotions, and corrections are entered accurately and on time.Reconcile payroll reports, identify discrepancies, and communicate issues promptly to HR and management.Maintain payroll documentation and support payroll-related audits.Ensure compliance with federal, state, and local wage and hour regulations, including overtime rules, meal/rest laws (where applicable), and multi-state payroll requirements.Handle payroll inquiries from employees with professionalism and a customer-service mindset.QualificationsRequired:1–2 years of experience in accounts payable, payroll, or general accounting support.Understanding of basic accounting principles and AP workflows.Experience processing or assisting with payroll (preferably multi-state).Proficiency with ERP and HRIS systems (e.g., Sage Intacct, NetSuite, Rippling).Strong attention to detail and high level of accuracy in data entry and financial processing.Ability to manage multiple priorities in a fast-paced environment.Excellent communication and customer service skills.Preferred:Experience in healthcare or multi-entity operations.Familiarity with Divvy, Rippling, or similar cloud-based platforms.Exposure to payroll compliance across multiple states.QualificationsCompetitive payHealth insurance (dental and vision)Paid holidyasPaid lunchVacation leaveSick leave The pay range for this role is:26 - 28 USD per hour(Midtown NY )PI3fafeb8f94cd-30511-39253887
