Position Summary

As a direct report to the Vice President of Hospitality and Facilities Management, the Facility Operations and Campus Projects Lead plays a critical role in the day-to-day operation of the Saint Louis campus, as well as ensuring that all AI stakeholder needs are integrated into one cohesive plan and operational approach. The Facility Operations and Campus Projects Lead will be responsible for the planning, execution and coordination of the following key activities for the Augustine Institute:
- Facilities Management – Act as the primary interface between the Vice President of Hospitality and Facilities, DCM and their subcontractor team to facilitate smooth and well-coordinated day-to-day operations of the campus. This includes collaborating across the apostolate (i.e., Graduate School, Studios, Advancement, etc.) to ensure all stakeholder needs are being met. Specific responsibilities will include utilities management (ensuring efficient use of electricity, water, gas, etc.), space utilization (ensuring adequate and effective office space for colleagues), storage configuration management (how to best utilize closet, basement and storage area to place equipment, furniture, etc. for efficient and effective staging), management and oversight of key functional work areas (like the loading dock, commercial and student laundry rooms, the kitchen [as required], maintenance sheds, etc.) This role will also work closely with the finance team to ensure the property management and capital improvement applications are being properly utilized by DCM, that all invoicing and services rendered for facilities and maintenance are appropriate and accurate. This role would be responsible for managing and refreshing the 10-year capital improvement plan. In summary, this role will help to run a cost effective, safe and reliable campus operation.
- Campus Master Planning – Act as the primary point of coordination for the capture and integration of cross-functional perspectives (inputs) on the 30-year campus master planning effort. Lead the RFP process to solicit, select and contract the architectural firm that will lead the master planning effort. Manage the architectural firm to develop and deliver the master plan on time and on budget incorporating the appropriate inputs from all key stakeholders. Work with CFO, COO, and Chief Advancement Officer to ensure the Campus Master plans are synchronized with the apostolate's 10-year Capital Expenditures (CapEx) planning process and our 2030 capital fundraising campaign.
- Special Projects Management – This includes working with senior leadership to identify, budget, plan and prioritize facilities and/or campus special projects. Special projects include, but are not limited to facilities renovations, new construction, technology upgrades and implementation, safety and security enhancements, securing, leasing or purchasing assets needed to run the campus, and project planning for major campus events (e.g., 20th Anniversary Celebration), etc. The Facility Operations and Campus Projects Lead will act as "quarterback" coordinating, aligning, communicating and holding accountable all stakeholders to ensure these special projects are delivered on time, on budget, with the desired outcomes.
- Conference, Retreats and Special Events Support – Work closely with the Events and Advancement teams to execute event planning requirements like meeting room set-up/take-down, break-out room set-up/take down, audio/visual (A/V) set-up/take down while devising an A/V support plan for each event requiring A/V.
The Facility Operations and Campus Projects Lead will work across the apostolate to influence and marshal resources that can consistently deliver on our key business and campus operational objectives. This role is highly cross-functional and will work closely with all apostolate department leaders. Additionally, this role is responsible for cultivating and maintaining important subcontractor, vendor and supplier relationships (who are essential to the day-to-day operation of the campus.)
The Facility Operations and Campus Projects Lead will be responsible for (specific duties listed below may not be all-inclusive):
- The planning, coordination and communication of all campus-wide special projects including site renovations, new construction, system upgrades, etc.
- Campus-wide space planning – including office/cubicle build-out, seating assignments, storage, coordination with subcontractors and leasing companies.
- Campus-wide policies, procedures and directives – ensure cross-organization coordination to include all stakeholder needs and desires are heard and integrated.
- Conferences, retreats and special events support (including A/V) as assigned by the Vice President of Hospitality and Facilities.
- Support the master planning process for the campus – act as liaison for ensuring stakeholder needs are understood, integrated and presented to senior leadership for consideration into the integrated master plan. Manage subcontracted architectural firm to deliver expected outcomes.
- Lead the campus 10-year capital expenditure planning process
- Coordinate with the contracted property management company to ensure proper utilization of property management, asset and capital tracking applications.
- Utilities – budget planning and management.
- Weekly reporting to senior Leadership and monthly updates to AI President/Executive Leadership on status of special projects, Master plan, etc.
- Quarterly written updates to the AI Board of Directors.
- Other duties as assigned.
Qualifications
- Proven leadership experience in project planning, project execution, construction project management, A/V planning and support, strategic planning and cross-organizational communications
- Demonstrated leadership skills with a broad knowledge of project management best practices, business judgement and client/consumer interaction, cost-benefit analysis, and strategic planning.
- Knowledge of industry regulations and best practices – proven ability to reach out to industry experts for collaboration and support
- Possesses a strong mentor/advisor network for reach back support, seeks counsel from senior leaders and communications feedback to senior leadership
