JOB DESCRIPTION
RECEPTIONIST/FRONT DESK
REPORTS TO: Business Manager
FLSA STATUS: Non-exempt
DATE: April, 2022
Under the direct supervision of the Firm’s Business Manager, the Receptionist is responsible for supporting the legal personnel by performing a variety of administrative duties, including drafting legal documents and correspondence, managing case files, answering phones, and communicating with clients, attorneys, and court personnel.
ESSENTIAL DUTIES:
1. Welcoming guests and clients by greeting them in person or on the telephone; answering or directing inquiries.
2. Producing information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics; coordinating case preparation.
3. Scheduling of all mediations, filing reports with the appropriate courts, and preparing mediation agreements as required.
4. Conserving attorney time by reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents;
a. drafting letters and documents; collecting and analyzing information;
b. initiating telecommunications;
c. organizing client conferences, and attorney meetings;
d. scheduling couriers, court reporters, expert witnesses, and other special functions;
e. coordinating preparation of charts, graphs, and other courtroom visuals.
5. Maintaining attorney calendars by planning and scheduling conferences, teleconferences, dispositions, and travel;
a. recording and monitoring court appearance dates, pleadings, and filing requirements;
b. monitoring evidence-gathering; anticipating changes in litigation or transaction preparation requirements.
6. Representing the Firm by communicating and obtaining information;
a. following-up on delegated assignments;
b. knowing when to act and when to refer matters to an attorney.
7. Maintaining client confidence by keeping client/attorney information confidential.
8. Providing historical reference by developing and utilizing filing and retrieval systems;
a. recording meeting discussions;
b. maintaining transcripts;
c. documenting and maintaining evidence.
9. Updating job knowledge by participating in educational opportunities;
a. reading professional publications;
b. maintaining personal networks;
c. participating in professional organizations.
10. Enhancing Firm reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
