JOB SUMMARY
The Bilingual Administrative Assistant performs a wide variety of office and HR administrative duties as required by daily operations. These duties include interpreting and translating using Japanese/English language skills, typing, data entry, coordinating schedules, assisting in incoming and outgoing phone calls, maintaining office equipment, office filing, training, human resource administration, etc.

PRINCIPAL JOB RESPONSIBILITIES
Translate internal/parent company documents and communications to and from English and Japanese. This includes but is not limited to email, forms, procedures, policies, and other miscellaneous documents.
Interpret vendor, customer, and internal verbal communications, at YAC and offsite, during meetings, conference calls, and discussions ensuring accuracy in data and interpretation.
Perform a wide variety of technical and office administrative duties as required by daily operations. These duties include typing, filing, data entry, schedule coordination, maintenance of office equipment, etc.
Assist in office equipment support for items such as copiers, phone system, cell phones, computers, etc. This includes initial troubleshooting and then contacting a third-party vendor if the issue cannot be resolved in house.
Assist in facility maintenance. This includes scheduling service calls, preventive maintenance, and annual inspections with vendors for office equipment, and security, among others.
Maintain the building alarm and badge system. Maintain an active list of users and pins for both buildings. Research and recommend security measures for the facility.
Assist with corporate and liability insurance. Provide updated information as necessary on company vehicles, drivers, fixed assets such as equipment and real estate, and rental properties. Gather insurance claim reports from employees and file them with the insurance broker.
Accompany and assist expatriate staff and their families upon arrival and ongoing as needed.
Coordinate travel arrangements for expatriate staff, and other visitors as requested. This includes booking flights, rental cars, hotels, and other miscellaneous reservations.
Set up and maintain company training records. Notify employees and managers when training is due. Enroll employees in training as needed. Assist departments in creating in-house training materials such as PowerPoint presentations, certificates, handouts, tests, etc.
Administer company benefits, employment activities, company functions, survey reporting and data compilation, and employment verifications. Act as a liaison between insurance carriers, brokers, and vendors. Answer basic benefit, payroll, and employment questions.
Assist the HR Manager with different aspects of talent acquisition including posting, screening, referring, interviewing, orientation, and onboarding.
Assist with survey data through internal and external surveys. This survey data includes topics provided by management and third-party vendors on employee engagement, benefits, benchmarking, etc.
Other duties as necessary to ensure organizational success and customer satisfaction.

EDUCATIONAL REQUIREMENTS
High School diploma or GED.

QUALIFICATIONS AND EXPERIENCE
Prefer 2+ years of experience in office administration and human resources.

Oral communication— must be fluent in English and Japanese. Can speak clearly, persuasively, and professionally in positive or negative situations, demonstrate presentation skills, and can conduct meetings.
Written Communication— must be fluent in English and Japanese. Can edit work for spelling and grammar, present numerical data effectively, and is able to read and interpret written information.
Planning/organizing—can prioritize and plan work activities, use time efficiently, and develop realistic action plans.
Exceptional Microsoft Office skills – Word, Excel, Outlook, PowerPoint
Willingness to follow detailed directions on certain projects balanced with the ability to work independently with minimal supervision on another project.

TYPICAL PHYSICAL DEMANDS / WORK ENVIRONMENT
While performing the duties of this job, the employee is regularly required to talk, hear, and enter data using the computer.  The employee frequently is required to stand, walk and sit.  The employee is occasionally required to use hands to finger, handle, or feel; reach with hands and arms.  The employee must occasionally lift and/or move up to 10 pounds.  Specific vision abilities required by this job include close vision, and the ability to adjust focus.
