Position Overview:
The Property Manager is responsible for overseeing the daily operations and overall management of our property. This role includes ensuring the property is well-maintained, financial operations are managed effectively, tenant relations are positive, and legal compliance is maintained. The Property Manager will work closely with tenants, staff, contractors, and upper management to ensure the property meets operational and financial goals.
Key Responsibilities:
Property Operations Management:
- Oversee the day-to-day operations of the property or properties, ensuring smooth and efficient functioning.
- Conduct regular property inspections to ensure it is well-maintained, clean, and in good repair.
- Manage property maintenance, including scheduling repairs, coordinating contractors, and overseeing routine upkeep.
- Ensure that all services and amenities meet company and tenant expectations.
Financial Management:
- Develop and manage the property's annual budget, monitoring expenses and income to ensure financial goals are met.
- Ensure timely and accurate rent collection, handle late fees, and maintain appropriate documentation.
- Prepare and submit financial reports, including income statements, expense reports, and budget forecasts.
- Ensure that the property's rent is priced competitively with the market and adjust rent as necessary in compliance with legal and company guidelines.
Tenant Relations and Leasing:
- Oversee tenant relations, including addressing concerns, resolving complaints, and maintaining tenant satisfaction.
- Ensure that tenant leases are signed, renewed, and filed properly.
- Manage tenant move-ins and move-outs, including inspection of units, return of security deposits, and finalizing lease agreements.
- Address tenant inquiries regarding lease terms, property rules, and maintenance concerns.
Legal and Compliance Responsibilities:
- Ensure compliance with all local, state, and federal regulations, including fair housing laws, landlord-tenant laws, and health and safety codes.
- Enforce lease agreements and handle legal issues such as evictions, violations, and disputes.
- Stay up-to-date on relevant housing regulations, codes, and laws to ensure the property remains compliant.
Marketing and Leasing:
- Develop and implement marketing strategies to promote vacancies and attract high-quality tenants.
- Oversee leasing operations, including conducting property tours, screening tenants, and handling applications.
- Ensure accurate advertising of available properties, including online listings and physical signage.
- Maintain high occupancy levels while ensuring that tenants meet qualifying criteria.
Staff Management:
- Supervise property staff, such as leasing agents, maintenance workers, and administrative assistants.
- Conduct staff performance evaluations and provide training and development opportunities.
- Ensure that staff adhere to company policies and regulations while delivering exceptional service to tenants.
Qualifications:
Education/Experience:
- High School Diploma or equivalent
- Minimum of 2-5 years of experience in property management or a similar role.
- Knowledge of property management software ( AppFolio) and MS Office Suite.
Skills and Abilities:
- Strong leadership and management skills.
- Excellent customer service and communication skills, both written and verbal.
- Strong organizational and time-management skills.
- Financial literacy with the ability to create and manage budgets, track expenses, and analyze financial reports.
- Ability to handle emergency situations and resolve tenant concerns in a professional manner.
- Proficiency in property management best practices, leasing, and legal compliance.
Physical Requirements:
- Ability to conduct property inspections and walk the grounds.
- Ability to sit, stand, or walk for extended periods.
Additional Requirements:
- Valid driver's license and reliable transportation
- Availability to handle after-hours emergencies or issues as needed.
