Job Title: Surgery Coordinator
Department: Procedure Operations
Reports to: \tOffice Manager

Job Summary:
Procura Pain and Spine is seeking a dedicated and detail-oriented Surgery Coordinator to join our team. The Surgery Coordinator will play a crucial role in facilitating pain management procedures and ensuring seamless administrative support. This position is essential for coordinating the scheduling of surgeries, managing patient information, and ensuring compliance with regulations

Essential Duties and Responsibilities:

1. Scheduling and Coordination:
Coordinate and schedule pain management procedures and surgeries in collaboration with physicians, patients, and surgical facilities.
Manage surgical calendars to optimize clinics and operating room usage by adding or canceling surgical days
Confirm and communicate surgical dates and times with patients and clinical staff via EMR and telephone.
2. Patient Interaction:
Serve as the primary point of contact for patients regarding surgical procedures, pre-operative instructions, insurance verification, and follow-up care.
Educate patients on the scheduled procedures, addressing any questions or concerns they may have.

3. Pre-operative and Post-operative Responsibilities:
Collect, review, and organize necessary patient documentation and medical history prior to surgery. Send gathered documents to respective sites and or personnel.
Ensure all pre-operative tests and approvals are completed and documented in the EMR.
Confirm Cases in EMR are complete and marked appropriately according to all items requested.
4. Documentation and Compliance:
Maintain accurate and up-to-date patient records in compliance with HIPAA and other regulatory standards. Document ALL interactions with the patient/insurance/ vendor/reps in EMR.
Ensure all required consents and authorizations are obtained and documented prior to procedures.
Prepare and submit necessary documentation for insurance pre-authorization and verification.
5. Administrative Support:
Assist with data entry, appointment scheduling, and general administrative duties related to the surgical department.
Support the Practice Administrator with additional administrative tasks as needed. (i.e. schedule blocks, inform when case load is at capacity, etc.)
6. Continuous Improvement:
Collaborate with clinical staff to enhance surgical scheduling efficiency and patient flow.
Participate in training and continuing education programs to stay current with pain management practices and regulatory compliance.

Minimum requirements:
Education: High school diploma or equivalent; Associate's degree or higher preferred.
Experience: Minimum of 2 years of experience in a medical office or surgical coordination role, preferably in pain management or orthopedic settings.
Skills:
Strong organizational and multitasking skills.
Excellent communication and interpersonal skills.
Proficient in electronic health record (EHR) systems and Microsoft Office Suite.
Knowledge of medical terminology and insurance verification processes.

Working Environment / Location of Position / Abilities required:

Must be able to use computer and answer telephone
Typing minimum of 45 wpm
This position primarily operates in an office environment within a clinical setting. It may require occasional visits to surgical facilities and collaboration with healthcare professionals.

Work is performed in an office environment. Involves frequent contact with the public. Work may be stressful at times. Contact may involve dealing with angry or upset people.

Physical/Mental Demands
Requires hand dexterity for office machine operation, stooping and bending to files and supplies, mobility to complete errands, or sitting for extended period of time. Must possess visual and auditory acuity in order to communicate with co-workers, patients and other customer groups. Must be able to lift up to 25 lbs.
