Job Summary:
We are seeking a detail-oriented and organized Payroll Coordinator to manage and process payroll for our employees, ensuring accuracy, timeliness, and compliance with labor laws and company policies. This role works closely with HR and Finance to oversee payroll accounting, reporting, and employee queries.

Key Responsibilities:

  • Payroll Processing:
    • Process weekly, bi-weekly, monthly, and off-cycle payrolls using ADP Workforce Now.
    • Assist managers with timesheet adjustments and monitor hours imported via WorkMax.
    • Ensure accurate application of wages, benefits, bonuses, deductions, and garnishments.
    • Audit and reconcile payroll data, closing batches, and organizing records for compliance.
  • Tax Compliance:
    • Calculate and manage federal, state, and local tax deductions, including temporary out-of-state withholdings.
    • Audit and process quarterly and annual filings, including year-end items such as W-2s and ACA compliance.

Oversee filings related to Workers’ Compensation, Unemployment, and headcount.

  • Reporting & Documentation:
    • Maintain accurate payroll records, including reporting and reconciliation.
    • Build and manipulate reports for audits and managerial requests.
    • Handle 401(k) contributions, administration, and audits.
  • Employee Assistance:
    • Address payroll-related inquiries and resolve discrepancies.
    • Serve as the ADP administrator, working with their team for issue resolution and implementation.
  • Benefits Administration:
    • Manage employee benefits, including health insurance, retirement plans, and paid leave.
    • Oversee payroll adjustments for new hires, terminations, and employee changes.
  • Certified Payroll:
    • Manage certified payroll processes, including setting up jobs and reporting via Points North.
    • Ensure compliance with Davis Bacon Wage Scales and fringe benefits.
  • Compliance & Audits:
    • Stay updated on labor laws, tax regulations, and payroll compliance standards.
    • Conduct internal audits and assist with external audits.

Qualifications:

  • Education:
    • High school diploma or equivalent (required).
    • Associate’s degree in accounting, finance, or business administration (preferred).
  • Experience:
    • 2-4 years of payroll processing experience.
    • Proficiency with payroll software (ADP Workforce Now preferred) and Microsoft Excel/Google Sheets.
    • Multi-state payroll tax compliance experience is a plus.
  • Skills & Competencies:
    • Strong attention to detail and organizational skills.
    • Excellent communication, problem-solving, and confidentiality handling.
    • Ability to manage multiple tasks and deadlines effectively.
    • Knowledge of certified payroll and reporting is a plus.
  • Certifications:
    • Certified Payroll Professional (CPP) certification is a plus but not required.

Physical Demands & Work Environment:

  • Office-based with standard working hours. Flexibility may be needed during peak periods.
  • Regularly required to sit.
