Job Summary

Procurement Associate – Responsible for shipping parcels or documents, receiving all incoming packages from common carriers and recording information into the system, asset management control (asset tagging equipment) and daily mailroom services.

Campus Store Associate – Responsible for assisting customers, processing payments, ordering, receiving, and stocking merchandise. Associate ensures that all financial transactions are accurately accounted for, recorded, and delivered.

Knowledge, Skills and Abilities
  1. Ability to effectively communicate and interact with customers and with university administration, faculty, staff, students, and outside contacts.
  2. Ability to handle detail-oriented assignments.
  3. Ability to alphabetize and maintain an accurate filing system, both alphabetical and numeric.
  4. Basic mathematical skills.
  5. Experience with mailing, operating multifunctional printer (MFP) & maintenance, computer software such as Word and Excel, hand trucks, and any other machines, equipment, or software programs required by this position.
  6. Flexibility to work on special events and required dates.
Required Qualifications
  1. Education: Any combination of education, training or experience that provides the required knowledge, skills, and abilities to perform the duties of this job satisfactorily.
  2. Experience: 1 year of clerical office experience.
  3. Licenses: Must have a valid Driver’s License and must maintain a Motor Vehicle Report (MVR) that satisfies the requirements of the WesternU Vehicle Use Policy.
  4. Ability to grasp, lift or otherwise move goods weighing up to 30 lbs. and move packages up to 70 lbs.
Preferred Qualifications
  1. Education: Any combination of education, training or experience that provides the required knowledge, skills, and abilities to perform the duties of this job satisfactorily.

Key Responsibilities
  1. Receiving and delivering all incoming ground, and overnight shipments, and preparing outgoing shipments for the University and entering information data into Banner system (receiving) daily to ensure invoices are ready for processing by Accounts Payable. File proof of delivery document into Airtable.
  2. Performs daily USPS pick-up and mailroom services throughout the campus and works with Purchasing on POs, submitting chargeback reports to AP, Asset Management tagging and other duties assigned by the Associate Director of Procurement – 20%
  3. Operates cash register, verify purchase price, process customer payment, and tabulates cash register accurately and sends the total to appropriate personnel daily.
  4. Responsible for responding to customer inquiries, taking steps to detect signs of shoplifting, theft, and security risks involving customers and co-workers. Must keep environment clean and keep track of inventory, customer special orders, vendor merchandise returns, and other duties as assigned by the Campus Store management.
Work Schedule

8:00 am to 5:00 pm – Mondays to Fridays
4.0 hours – Procurement associate
4.0 hours – Campus Store associate
