Facilities Specialist

Alliance Defending Freedom is looking for a professional Facilities Specialist to join us in our Lansdowne, VA office.

As a Facilities Specialist, you will play a critical role in the smooth operation of the Lansdowne campus. This position combines advanced facility management tasks with strategic support to ensure that building systems, maintenance efforts, and operational workflows are managed effectively. You will serve as a trusted partner to the Facilities Manager and will take on a leadership role within the Facilities team. This position demands an exceptional degree of professionalism, attention to detail, and a strong commitment to service excellence.

Responsibilities
  1. Campus Management & Operations Support:
    • Serve as the senior facilities assistant, providing leadership and oversight to the daily operations of the Lansdowne campus.
    • Assist in managing key building systems (HVAC, security, video surveillance, etc.) by coordinating routine inspections.
    • Supervise and coordinate the completion of facility requests.
    • Ensure that the campus and all facilities-related areas are neat, safe, and in good working order.
    • Participate in office reconfiguration including moving furniture and equipment.
    • Oversee and perform general maintenance tasks on building systems.
    • Work with or assist trades contractors to complete projects or repairs.
    • Ensure compliance with established safety standards and best practices.
    • Take a leadership role in coordinating with vendors, contractors, and service providers.
    • Monitor all vendor invoices related to facility operations.
  2. Event & Meeting Support:
    • Coordinate and lead the setup for meetings, conferences, and other events.
    • Work with internal teams and external vendors to ensure all logistics are handled for meetings.
  3. Guest House & Office Space Operations:
    • Manage the reservations, upkeep, and operational needs of the Guest House.
    • Assist with office space configurations and workplace setups.
  4. Supply & Inventory Management:
    • Take responsibility for inventorying, ordering, and maintaining supplies for the facilities.
    • Oversee the management and organization of storage spaces and supply rooms.
    • Process and submit all Facilities-related invoices and statements to Accounting.
    • Lead all mail operations.
    • Manage and coordinate all shipments and deliveries to the campus.
  5. Team & Facility Communication:
    • Serve as the primary point of contact for all facility-related communications.
    • Update and maintain the campus event calendar.
    • Assist with new employee facility orientations.
  6. Compliance & Safety:
    • Assist the Facilities Manager with ensuring all facility-related safety protocols and training are up-to-date.
    • Monitor facility security systems and assist with emergency response procedures.
  7. Other Responsibilities (Non-Essential):
    • Perform related duties or special projects as assigned.
    • Some duties require driving (requires a valid driver’s license).
Skills You Need to Succeed:

  4. Customer Service & Hospitality: Exceptional service orientation.
Education and Experience:

Education: High school diploma required. Associates or Bachelor’s degree in Facilities Management, Business Administration, or a related field preferred.

Experience: 3-5 years of experience in facilities management, maintenance, or a related field.

Certifications: OSHA certification or other relevant facilities-related certifications are a plus.

Valid driver’s license and satisfactory driving record required.
