Job Title: Administrative Assistant II – Fire Prevention Unit

The Administrative Assistant in this role is responsible for supporting the Fire Prevention team with daily administrative tasks.

Working Hours: Monday-Friday 8:30 a.m. – 4:30 p.m.

Job Duties:

  • Responsible for purchase orders, approval of invoices, petty cash management within budgetary constraints.
  • Responsible for tracking and ensuring compliance for permits, fire inspections, and information pertaining to investigations, including follow-up and fines for those non-compliant.
  • Responsible for various aspects of payroll reporting as it pertains to timekeeping and tracking, as well as maintaining specific personnel information, scheduling via Aladtec software, and departmental SOP (Standard Operating Procedures).
  • Handles resident/business communication and issues pertaining to potential violations.
  • Keeps Chief/Assistant Chief and Fire Prevention staff apprised of pertinent issues.
  • Works with the Fire Prevention team to prepare for public information meetings about fire prevention.
  • Coordinates and schedules inspector assignments.
  • Back-up for Administrative Assistant I as needed.
  • Performs other related duties as required.
  • Ability to clearly express and exchange thoughts and ideas.
  • Ability to maintain confidentiality in department matters.
  • Strong attention to detail and time management.
