Definition

Under supervision of the Public Safety Records Supervisor, maintain complete, accurate and timely Longmont Public Safety records. Respond to requests for Longmont Public Safety police reports and fire incident reports. Provide assistance to citizens, officers, fire staff and other agencies; perform a variety of clerical and administrative support tasks in the Records Unit of the Support Services of the Department of Public Safety.

Principal Duties

  • Answer phones, greet and assist visitors; process requests for reports and paperwork from a variety of sources including departmental staff, other local and State law enforcement personnel, insurance companies, other public safety agencies and organizations, and the public.
  • Review requests for access to public safety records to determine release eligibility; determine appropriate response; redact, release, or withhold in compliance with local, state and federal laws.
  • Process and distribute public safety reports and criminal complaints to attorney’s, courts and appropriate State and local agencies for prosecution or review.
  • Analyze and interpret responses to database queries and searches; access electronic and hardcopy records; determine case status and release eligibility; process and redact information.
  • Enter, maintain, and retrieve data, reports, and information in a variety of automated records management systems.
  • Maintain offender registration records, local wanted records, missing person records and property information in local, state, and federal databases through entry, cancellation, modification, clearing, verification, and confirmation.
  • Type, record, and file a wide variety of confidential public safety records, reports and materials including memos, letters, complaints, fingerprint cards, arrest information, warrants, citations, and crime and traffic reports.
  • Use computer database systems to enter, query, validate, modify, and retrieve a wide variety of public safety reports and records on investigations, warrants, vehicles, articles, persons, guns, etc.
  • Assist department personnel and the public in person and by phone performing record checks, copying reports, and mailing out requested reports to outside agencies and insurance companies in accordance with established regulations; provide general information regarding department policies,
  • procedures, and regulations.
  • Sort, file, copy and distribute patient care, fire incident, police crime reports, traffic reports, citations, and other materials to appropriate personnel and the public in accordance with laws, Colorado State Statues, and procedures governing the dissemination of information.
  • Comply with court orders to seal or expunge criminal justice records.
  • Retain and purge public safety records in accordance with the approved Retention Schedule.
  • Verify ownership and release impounded vehicles to legal owner.
  • Perform general clerical duties including typing, distributing mail, and filing.
  • Performs essential duties and additional tasks in a manner which enhances City Attributes.

Working Environment

Work is performed in a standard office environment. There are occasional periods of working alone. Work requires continuous customer contact with the general public. Must be able to work with minimal supervision and be self-directed. Requires ability to learn the use of computer equipment and associated software, state and municipal statutes, and department policies and procedures. Requires ability to maintain and balance a cash drawer and accurately make change. Requires ability to communicate verbally with co- workers and the general public. Position requires 5 to 8 hours per shift performing repetitive motions of fingers and hands at a keyboard. Requires sufficient near vision to read documents and information on a computer screen. Requires varied shift work, including days, evenings, nights, weekends, and holidays.

Qualifications

Any combination of education and experience equivalent to completion of the twelfth grade supplemented by specialized or college level business courses. A minimum of one year of general clerical and data entry experience and one year of previous experience with frequent public contact with customers in person and over the phone who may be in stressful situations. Principles of customer service, phone etiquette, record keeping and filing, mathematics, business letter writing and report preparation. Special Requirements: Must be able to obtain advanced certification on the NCIC/CCIC systems for entry, query, modification, confirmation and validation within six months of hire.
