Program Services Coordinator

The Program Services Coordinator plays a key role in assisting various departments at The INN Between, ensuring smooth daily operations and providing exceptional support across teams. This versatile position supports transportation scheduling for residents, assists with fund development efforts, manages meetings, and delivers outstanding customer service at reception. The ideal candidate is organized, adaptable, and skilled in multitasking to meet the needs of staff, residents, donors, volunteers, and visitors.
Key Responsibilities:
- Transportation Management:
- Coordinate and manage the transportation calendar for residents, including confirming appointments and arranging transportation as needed.
- Communicate with residents and staff to ensure all transportation needs are met efficiently.
- Fund Development Support:
- Assist the fund development team by creating and scheduling social media posts to increase engagement and promote the organization’s mission.
- Process donations, ensuring accurate data entry and tracking.
- Prepare and distribute acknowledgment letters to donors promptly and professionally.
- Meeting and Event Coordination:
- Support various departments in scheduling and coordinating meetings, including reserving and preparing meeting spaces.
- Ensure all necessary materials and equipment are set up and organized in advance of meetings or events.
- Occasional opportunities for short presentations on our program.
- Reception and Front Desk Assistance:
- Support the front-end staff occasionally serving as the first point of contact for all visitors, delivering a warm, welcoming experience and directing them to the appropriate person or department.
- Answer and direct incoming calls, providing information and assistance to residents, staff, donors, volunteers, and the public.
- Redirect resident and staff inquiries to the appropriate departments, facilitating effective communication within the organization.
- Administrative and General Support:
- Assist departments with various clerical tasks, such as IT support, scanning/digital filing, data entry, document preparation, and other projects as assigned.
- Maintain a clean, organized reception and common area, ensuring a professional and welcoming environment for all.
Minimum Requirements
- Demonstrated ability to effectively manage and build rapport with people.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks. Proficiency in Microsoft Office (Word, Excel, Outlook) and social media platforms is preferred.
- Prior experience in a similar support role is preferred, ideally in a nonprofit or human services environment.
- Excellent interpersonal and communication skills; positive attitude and ability to work collaboratively; customer-service oriented with a compassionate approach to helping diverse populations.
- Ability to pass a background check.
Physical Requirements
- Light lifting and setting up of meeting rooms.
- Hearing/listening, manual dexterity, pulling/pushing, seeing, speaking, squatting/kneeling, standing, sitting, and walking.
Communications Requirements

Health Requirements
- Health Evaluation performed by RN Supervisor including TB test and review of all immunizations.Must be current on flu and COVID-19 (including booster).
