Oakland, United States Root & Rebound Full time

Commitment: One-year full time commitment starting February 2025, Monday – Friday / 9:00 AM – 5:00 PM, 40 hours per week, with occasional evenings/weekends, in a hybrid setting (2 days in the office, 3 days work from home).

Location: This position is based in Oakland, CA.

Duties & Responsibilities

The VISTA Data Specialist’s responsibilities and duties this year will include but not be limited to:

  • Lead our bi-annual Deep Direct Services Survey
  • Creating the client list
  • Distributing the survey using SurveyMonkey, Zoom, and other platforms
  • Coordinating and distributing gift cards to participants
  • Analyzing the results
  • Reporting and presenting the results to all staff
  • Documenting the entire process, start to finish
  • Grant Reporting (Data Only)
  • Use and maintain existing report making tools in Google sheets and Excel
  • Work with the Programs and Development teams to ensure accurate and on time delivery
  • Ad hoc data requests
  • One-off data pulls and reports when requested by other departments
  • Lead our Monthly Client Feedback Survey
  • Send a monthly email blast to clients who have recently closed a Matter with us
  • Analyze and report results to stakeholders
  • Lead a CMS Maintenance and capacity building project
  • Perform basic maintenance and data entry in our CMS, Clio
  • Add and remove tools, fields, selections, etc. in Clio using the methods Clio natively provides
  • Document the effects of those changes on the backend data and the reports generated thereby
  • Provide remedies for those effects
  • Document the process for those remedies
  • Build out, consolidate, and map our existing feedback loops
  • Solicit, collect, and incorporate feedback from the project’s stakeholders including the Data Manager, Programs Director, Communications Manager, Development Manager and Operations Manager regarding their feedback needs and where all of our current organizational feedback plugs in for them.
  • Make feedback results easily digestible and accessible
  • Work with the Data Manager, Communications Manager, and Development Manager to develop an overall Feedback Loop Map for the organization
  • Work with the Data Manager to document all Surveys and Survey Processes
  • Work with the Data Manager, Communications Manager, Development Manager, and Operations Manager to create an engagement plan and strategic schedule.
Qualifications
  • Desire to work with people in reentry and on reentry and criminal justice issues in a dynamic and diverse team environment.
  • Demonstrated commitment to social, racial, and criminal justice.
  • Proficiency in Google products (Gmail, Google Calendar, Google Sheets, Google Drive).
  • Proficiency with Microsoft Excel.
  • Experience writing formulas and queries is required.
  • Experience with database languages like SQL / Python is preferred.
  • Strong organizational skills.
  • Excellent time-management and communication skills (written & verbal)
  • Ability to balance and prioritize multiple projects in a dynamic – and hybrid – environment.
  • Ability to incorporate clear direction, feedback and supervision.
  • Excited to create internal structures and processes around a new project.
